The Document Control Manager oversees the processing of engineering and construction documents to ensure accuracy and timeliness of reproduction and release. This includes identifying and resolving production-related errors and maintaining and revising procedural lists, control records and coding schemes to process source data. This position reports directly to the Business Manager Operations.

Supervisory Responsibilities:

This position carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Supervisory responsibilities include, but are not limited to: training and mentoring employees; planning,

assigning, delegating and directing work; appraising performance; rewarding and disciplining employees; and resolving employee issues.

Essential Duties and Responsibilities:

Oversees ongoing coordination with all Pre-Construction, Engineering, and all other field and staff personnel in the processing, copying, tracking, and logging of all construction-related documentsPrepares and maintains up-to-date control records documenting receipt of service requests, document and revision numbers, original distribution, revised distributions and transmittal datesOversees in the general supervision and/or training of department personnelConducts in conducting internal audits and inspections to ensure department work is performed correctly, efficiently and cost consciouslyMaintains and files reproduced document originals and revision for easy retrieval. Assists in preparing monthly department reportsPerforms copying and printing functions as required by work conditionsCodes data and inputs data for computer processingAssists in preparing document transmittal forms, distribute completed documents, and perform other routine functions as required by workload conditionsCoordinates the overall Document Control for entire projectCoordinates with reprographic vendors and consultants and negotiates reprographic contractsSets up and maintains Master Drawing Log and Drawing PackagesCoordinates with Project Team on distribution of documentation to project staff, subcontractors and other partiesMaintains Permit, Record Set and City/County approved drawingsMaintains Current set of Drawings and Specifications and Slip Sheet updatesMaintains Prolog reports for Drawings and SpecificationsCoordinates with Records Management Department to establish fining proceduresEstablishes controls for Drawings and Specifications utilizing PrologMaintains archive in accordance with Records Management Department guidelinesOther Duties:

Processes all Work Order requests from project staffDistributes and files all incoming CorrespondenceControls the documentation related to item transmittals and meeting minutesMaintains project Plan RoomProvides support and training to support staff as requiredDevelops job specific document control processes with Document Control StaffPerforms all duties as assigned by supervisorEnsure compliance with OSHA regulations to include health, safety, and welfare as appropriateRequired Job Skills:

Possess excellent listening, oral and written communication skills, superior problem-solving skillsPerforms work tasks by receiving direction and then working independently with an interest in quickly learning and applying new skills and abilitiesAble to provide thorough analysis and proper planning to achieve goals

Computer Equipment and Software:

Special skills: Intermediate knowledge of Windows / PowerPoint / Outlook / Publisher.

Intermediate skill level with Word / Excel. Intermediate knowledge of office machinery and tools. Basic knowledge of Prolog software.

Education and Experience:

Certification: Not applicable.

Education: High School Diploma or equivalent required. Some college course work or Associates Degree preferred.

Experience: At least eight years experience in a similar position preferred. Knowledge of filing in both Alpha and numeric systems, business machines, office procedures and document control systems is required. Knowledge of construction documents is required.
