.Summary:This positions leverages project management experience and in-depth knowledge of software development project management methods, responsible for the overall planning, management, communication and execution of Continuous Quality Improvement (CQI) IT projects across the department. This individual will primarily be responsible for managing new and recurring projects and activities in the area of software development and maintenance, process re-engineering, and business operations.This individual will use their project management skills to identify human resource requirements, planning, communication, risk, training, and all aspects of the development life cycle to ensure customer satisfaction and quality deliverables. Ensures effective communications at all levels both internally and with vendors. Establishes and nurtures trusted relationships with senior level management, program level staff, project staff and vendors.This exempt level position will report to the Senior Manager, CQI IT Operations in the Division of Continuous Quality Improvement.

It is based in our Chicago office and is a hybrid role: 3 days per week in the office/2 days per week remote.Primary Responsibilities:Project Management

Project management of various registry, reports and IT development projects involving coordination of multiple staff throughout the project life cycle. This can include the creation of project plans, project scope, test plans, project requirements and various other types of documentation. This individual will run meetings for the project team and will be responsible for tracking the progress of the projects and keeping all stakeholders informed.

CQI Timeline Management

Build, maintain and update CQI IT project timelines for all major projects. Document timelines for annual, recurring work and new projects. Work with project teams to document project scope, requirements and testing criteria. Ensure projects are adequately scoped and resourced.

Effectively manage multiple projects with competing deadlines, resources and priorities. Assess project risks, identify contingencies, and mitigations to minimize risks. Facilitates and executes mitigation to ensure successful delivery of the project. This includes communicating conflict resolution recommendations to senior management when appropriate.

Establish project communication plan and meetings cadence to ensure stakeholders are informed of project activities, assignments and status. Including scheduling, preparing agendas, conducting meetings, documenting meeting notes, tracking action items, and reporting status. Prepare and confidently present oral and/or written reports and project presentations with content appropriate for the stakeholders.

Change Management

Manage the change management process to ensure work is executed within the boundaries of the established project scope. When necessary, establish a plan to address agreed upon scope change and ensure there is clear understanding by all stakeholders involved of impact to timeline, budget, and resources as well as the overall CQI project portfolio.

Facilitate IT and project planning meetings to assess, document and track priority of projects, deadlines and risks.

Vendor Management

When external vendors are engaged, serve as main program contact for vendors and work with them to assure milestone dates are being met.

Documentation

At the end of each project work with the team to ensure the processes are manage and maintain SOP and project documentation for all IT projects.

Required Education and/or Experience:Bachelor's Degree from an accredited college or university is required. PMP is a plus.

At least 4+ years 'of project management experience with documented accomplishment and enlarging responsibility.

Proven experience at building trusted relationships with stakeholders, driving consensus across multiple stakeholders and providing excellent customer service is required.

Considerable ability to interpret business rules and requirements provided by the customer to translate the information into technical solutions.

Training in project management and project management tools such as Sharepoint, com or Microsoft Project, JAMA, and/or Jira is preferred.

Strong experience working with EHRs, health care databases, and/or customer relationship software is preferred.

Understanding of and ability to work with management and vendors to incorporate program goals into deliverables, and the ability to develop, lead, motivate and supervise project working groups.

Strong communication skills to communicate effectively and confidently with users, team members and management.
