Summary:The Leisure Sales Coordinator assists the Leisure Sales Manager with managing all aspects of tour and travel groups, from after the contract is drawn up through post-checkout. The Coordinator ensures communication between clients and relevant departments to provide a superior guest experience during check-in, stay, and check-out. This role also involves preparing and distributing information for wholesale and corporate accounts and supports the overall sales administrative team.

Responsibilities:• Track and manage tour and travel sales files in Visual-One, maintaining up-to-date records of customer accounts.• Send daily reminders via email and follow up with phone calls regarding contracts, group deposits, rooming lists, itineraries, and final payments.• Prepare group resumes with all pertinent details for arrivals, stays, and any special instructions, ensuring coordination with affected departments.• Create file cards, bookings, and input comments in Visual-One for Groups, Corporate, and Wholesale Accounts.• Maintain a client contact list and assist with Group and Wholesaler arrivals.• Confirm room assignments, key distribution, and meal vouchers as needed.• Greet tour group directors and maintain direct contact during their stay to ensure guest satisfaction.• Verify that upcoming groups are properly traced in Visual-One and that all due dates are met.• Create and distribute Closeout notifications, Commission Forms, Contracts, Addendums, VIP forms, and Site Visit documents to respective departments.• Answer telephones with proper etiquette and provide excellent communication and customer service.• Participate in training new sales coordinators and sales receptionists.• Provide backup support to other sales managers, coordinators, and receptionists when needed.• Assist with departmental projects and assigned responsibilities.• Support the Sales Manager by preparing for sales trips, client events, and site visits.• Complete proposals, welcome notes, productivity reports, expense reports, and ensure VIP rooms and showrooms are prepared.• All other duties as assigned.

Experience/Qualifications:• Strong organizational and time-management skills.• Ability to manage multiple tasks and meet deadlines.• Excellent verbal and written communication skills.• Strong customer service skills with attention to detail.• Prior experience in a sales or administrative role is preferred.• Must be able to legally work in the USA.

Education and Certification(s)/License(s):• High School Diploma or equivalent preferred.
