9/80: Employees work 9 out of every 14 days – totaling 80 hours worked – and have every other Friday offJob Description:The Public Safety and Private Communications (PSPC) sector of the L3Harris Communication Systems (CS) segment is seeking an experienced executive administrative assistant to join our Land Mobile Radio implementation team. To provide assistance and support to the PSPC sector executive staff.Essential Functions:Provide comprehensive administration support to PSPC sector executives, exercising confidentiality and diplomacy, supported by an understanding of the strategy and priorities of the organization.Proactively organize calendar schedules, email, and the day-to-day support of the executives.Support with organizing events, meetings, workshops, and any away day communication, invites, room setup, support preparation of material, etc.Be part of a highly collaborative and supportive team of Executive Assistants that work together across the wider PSPC sector leadership team.Be aware of changes and developments within all parts of the organization and support communication plans to convey these to the teams.Process and ensure the accuracy of expenses, and inform of any anomalies, as well as suppliers' invoices submitted requiring approval.Coordinate travel and international travel arrangements, and accommodation requirements in connection with others and ensure arrangements are in place. Troubleshoot issues as they arise.Support work on projects involving collaboration internally and externally, for example, being the contact person in relation to agreed Facilities projects, such as desk moves and organizing events. Take the lead to initiate, chase up, escalate, and ensure deadlines are met.Build and maintain strong working relationships with a broad range of stakeholders from different business units, functions, and within the greater CS segment.Manage and resolve queries, taking accountability for specific tasks.Support administration when required for note taking, group meetings, and general support if needed.Verify I9 certifications for new hires on site.Support general office duties with the other sector administrative staff.Assist with meetings setup and logistics.Qualifications:Requires a High School Diploma or equivalent and a minimum of 10 years of prior relevant experience or 2 years post-Secondary/Associates Degree with a minimum of 6 years of prior related experience.Preferred Additional Skills:10 or more years’ experience in executive support in a corporate environment.Driven and resourceful to manage own workload, with flexibility to prioritize and deliver against deadlines with minimal supervision.Remains resilient and reliable under pressure.MS Office skills at intermediate or advanced level.Excellent communication and organizational skills with high attention to detail.Experience of effectively arranging travel, producing accurate itineraries, and good judgment on how to optimize traveler’s time.A professional manner and the confidence to interact across the business.Apply discretion and maintain confidentiality.
