Job SummaryUT Southwestern Medical Center is hiring a Senior Administrative Assistant II in Surgery.
This role provides administrative support to the Department of Surgery's leadership team and faculty in the Chairman's Office. Responsibilities include travel review and approval process, calendar management, organizing meetings, obtaining travel approvals, arranging travel for conferences,
maintaining spreadsheets for travel budgets, managing re-credentialing processes, overseeing licensures, monitoring society memberships, ensuring compliance with governing bodies, processing
expenses, reimbursements, and standard institutions financial/purchasing transactions. Ideal candidates should possess self-initiative, resourcefulness, and adeptness in collaborative settings. The desired candidate will demonstrate strong written and verbal communication excellent customer service abilities, adept time management and prioritization skills, consistent follow-through, and a high work ethic.
Experience and Education
High school graduation or GED and four (4) years related work experience required
May consider higher education completed in lieu of minimum requirements
Preferred Skills/Experience
Detail oriented
Organized
Strong verbal and written communication
Multi-tasker in fast-paced environment
Excellent customer service skills
Job Duties
May perform some or all of the following:
Manages Department’s Travel review process and approvals
Provides moderately complex administrative skills for a department leadership
Selects office vendors and monitors purchasing processes
Receive guests in chairman’s suite
May assist with overflow work from administrative and executive assistants
Schedules and organizes activities such as meetings, travel, conferences and department activities for members of the department
Composes and processes repetitive and non-repetitive documents in accordance to established procedures
Organizes office procedures to ensure effective operation
Acts as department liaison with other departments and agencies
Processes purchasing transactions following institutional policies and procedures
Determines work priorities and monitors progress toward work deadlines
Ensures document retention processes are followed using established guidelines
