The position is located in Sells, AZ.

Position Summary:

Under general supervision, enters information into computers and performs other administrative duties within an office setting. Proofreads information for accuracy and updates data as information changes. Troubleshoots database system and equipment problems and ensures accurate, effective, and efficient data processing.

The work is normally reviewed upon completion, with occasional spot checks while in process, to ensure accuracy, timeliness and conformance to established standards; major work tasks are covered by instructions or procedures and unusual situations are referred to a supervisor.

Essential Duties and Responsibilities

(Depending on area of assignment, incumbent may not be required to perform some of the duties listed below.) :

Maintains and updates database and source documents.

Reviews source documents to determine completeness and accuracy of information to be recorded or entered into the database; reviews error reports and enters corrections into database.

Identifies and communicates problems with database system and provides weekly reports to the immediate supervisor.

Provides assistance to users of information regarding data requirements and status of paperwork; sorts and files paperwork.

May train other data entry employees.

Interprets codes, classifies and enters information from a variety of source documents into an automated data entry system; reviews source documents to determine completeness and accuracy of information to be recorded.

Verifies the accuracy and completeness of data entry made by other personnel and determines and documents causes of repeated errors; makes corrections as needed.

Identifies missing documentation needed to complete data entry processes and researches missing data; contacts preparers of source documents to resolve questions, inconsistencies, or missing data.

Prioritizes flow of work into automated data entry system to insure that time constraints and legal or regulatory requirements are met and that appropriate steps in a process are complete.

Maintains an effective and efficient records management system.

Generates reports as requested; responds to inquiries regarding entered data.

Trains and instructs co-workers on data entry processes, procedures, and systems.

Troubleshoots systems and equipment problems; performs back-up of information.

Attends weekly meetings to discuss data entry concerns and questions.

Maintains confidential information. Performs other job related duties as assigned and contributes to a team effort.

Knowledge, Skills, and Abilities:

Knowledge of the Tohono O'odham culture, customs, and traditions.

Knowledge of applicable federal, state, tribal laws, regulations and requirements.

Knowledge of principles and techniques of data entry in alphabetic and numeric data entry systems.

Knowledge of general office procedures, methods and equipment.

Knowledge of troubleshooting, researching, prioritizing, and verifying accuracy.

Skill in operating various word-processing, spreadsheets, and database software programs.

Skill in typing and word-processing.

Skill in organizing, examining, revising, verifying and entering data.

Skill in preparing and maintaining accurate records, reports, and files.

Skill in utilizing computer databases to research, maintain, and update records and files.

Skill in providing superior customer service to internal and external customers.

Skill in manual and electronic file organization.

Ability to carry out instructions furnished in verbal or written format.

Ability to communicate efficiently and effectively both verbally and in writing.

Ability to establish and maintain positive and effective working relationships with other employees, and the general public.

Ability to perform diagnostics on software and hardware for simple/routine problems.

Ability to maintain privileged confidential information.

Ability to work independently, handle multiple tasks and meet strict time lines.

Ability to work extended hours and various work schedules.

Ability to travel within the interior/exterior boundaries of the Tohono O'odham Nation.

Minimum Qualifications:

High School Diploma or General Education Diploma and one year work experience in data entry, or an equivalent combination of training, education, and work experience which demonstrates the ability to perform the duties of this position.

Licenses, Certifications, Special Requirements:

Must type at least 40 WPM.

Must demonstrate fifty percent proficiency in grammar, spelling, and math.

Upon recommendation for hire, a criminal background check is required to determine suitability for hire, including a 39-month Motor Vehicle Record.

May require possessing and maintaining a valid driver's license, (no DUIs or major traffic citations within the last three years).

If required, must meet the Tohono O'odham Nation tribal employer's insurance requirements to receive a driver's permit to operate program vehicles.

Based on the department's needs, incumbents may be required to demonstrate fluency in both the Tohono O'odham Language and English as a condition of employment.
