The Judicial Council of California is accepting applications for the position of Administrative Specialist in the Court Assistance, Resources, and Education unit for the Center for Families, Children & the Courts.The Administrative Specialist provides support in the contract and invoice processing functions for the Court-Appointed Dependency Counsel (CAC) program ($186.7M) and the Court Appointed Special Advocate (CASA) program ($2.713M). This position is part of a team implementing CAC and CASA budgeting, funding allocation methodologies, and contract and grants management, with the specialized responsibility for procurement and payment for the programs.The incumbent will prepare requisition approval documentation in the Center for Families, Children & the Courts’ (CFCC) SharePoint system, prepare and enter requisitions into FI$Cal, monitor and troubleshoot requisition and purchase order progress, and ensure that contractors respond timely to contracts and other documents sent to them. In addition, the Administrative Specialist receives and performs the first level of review on court-appointed counsel invoices, runs and reviews preset queries and reports from the case management system used by the vendors, supports the internal review system so the Supervising Analyst can review and approve payments, receives the invoices in FI$Cal, and monitors the process of payment to vendors. The Administrative Specialist also performs unit support functions as required, including collecting and recording the data contained in employee grant time tracking forms.The Judicial CouncilThe Judicial Council of California is the policy-setting body for the state court system and has constitutionally conferred statewide rule-making authority. This authority includes developing, advocating for, and allocating the judicial branch budget. The Judicial Council offers hybrid work arrangements for many positions. Beginning in September 2024, employees will work in the office at least one day each week. Beginning in January 2025, employees will work in the office at least two days per week.
