Position Summary

This position assists with development of strategic marketing plans, recruits clients, negotiates and monitors contracts and preferred vendor agreements, and sets operating targets. The role assists with managing budgets and prepares operational reports for executive level decision making, manages room calendars and prepares invoices for space usage, coordinates tours, and develops and executes effective communication processes and materials for optimum stakeholder interaction.

The Conference and Event Coordinator performs operations duties such as general facility oversight, space management, building access and resource acquisition. This role also assists with onboarding/offboarding employees. This position is located primarily at the CHM Secchia Center in Grand Rapids Michigan and requires significant on-site presence.

The Conference and Event Coordinator works closely with contracted security and custodial staff, as well as MSU IT and Facilities staff to coordinate event logistics. This position interacts with faculty, staff, students, external vendors, community partners and MSU units such as Academic Affairs, External Relations, and Advancement, among others, to coordinate events. This position reports to the CHM West Michigan Operations Director and works closely with other members of the Operations and Facilities team, including the CHM Director of Security, CHM parking administrator, and Building Services Engineer.

Minimum Requirements

Knowledge equivalent to that which would normally be acquired by completing a four-year college degree program in Hotel, Restaurant and Institutional Management or a related business field; three to five years of related and progressively more responsible or expansive work experience in institutional housing or institutional conference coordination; or an equivalent combination of education and experience.

Desired Qualifications

Knowledge equivalent to that which normally would be acquired by completing a four year college degree program with three years of related and progressively more responsible or expansive work experience in institutional conference coordination and facilities management or a related field; working knowledge of institutional scheduling systems; excellent verbal and written communication skills and outstanding customer service, with the ability to positively interact with internal and external stakeholders; exceptional organizational skills with proficiency in multitasking, time management, and completing tasks with minimal supervision; demonstrated critical thinking and creative problem solving capacity; computer and software aptitude with an emphasis on word processing, spreadsheets, and presentation software; or an equivalent combination of education and experience.

Bachelor’s degree in Business or Hotel, Restaurant and Institutional Management or a related field of study; experience in coordinating conferences in an academic setting; experience with contract management; ability to recruit clients; knowledgeable of applicable health and safety regulations; ability to effectively interpret and synthesize information.
