Position Overview

The Lease Administrator is responsible for lease administration and property management functions, including timely and accurate lease management tracking, documentation and reporting, grand opening traffic plans, work with landlords and co-tenants for all site matters, and proper cataloging and storage of critical communications and documents. Lastly, this position will assist the Asset Manager with lease renewals and negotiations, conducting analyses, developing strategies, and documenting the progress to resolution or desired outcomes.

Location and Office Requirements

This position is located in the Greater Phoenix Area and is required to be in the office 4 days per week (Mon-Thurs).

Manage lease administration data, information, and workflow to ensure that critical dates are acted upon in a timely manner, and lease administration activity and critical communications are properly documented in both soft and hard files:

For both new and existing sites, maintain lease administration system and associated files in an accurate and organized manner according to company standardEnsure all prescribed lease information is accurate and current in applicable systems and filesOversee process for new leases recording and critical date changes into the lease administration system and ensure that all relevant terms and conditions are properly abstracted and updated in accordance with the documented processMaintain, prepare, and distribute periodic standard and ad hoc reporting for leadership team distributionReceive and record changes to lease renewals, including terminations, amendments, and other ancillary real estate agreements, associated files, and documentsSupervise process and assist with negotiating new agreements or renewals for retail real estate locations and create a strategy for expiring agreements to oversee critical outcomes ensuring changes are communicated to key stakeholders:

Produce alert reports according to documented process including lease-related action dates and requirements, upcoming lease expirations, renewal options, and other obligations and rightsExecute internal and ad hoc reporting, including asset review, reports in support of lease renewal strategy meetingsRelated duties as assignedDraft and analyze portfolio to ensure rate is compatible with market rates and present to leadershipNegotiate additional time and rent for expiring leases or leases without determined rentPerform lease health checksOversee Property Management's processes and systems:

Oversee coordination with landlords, Legal, and Accounting to ensure that all required documentation is received and recorded, as per procedure, and that changes in rent and ancillary payments are initiated on timeDemonstrate consistently high-quality customer service and documentation across the Property Management teamServe as the point person for any internal or external questions and requests regarding the Property Management teamEnsure a seamless transition from new development turnover to active lease management statusWork with Facilities and other teams regarding information to establish new shop vendor services in a timely manner, including thorough documentation of landlord vs. tenant responsibilitiesDraft Rent Commencement Certificates and coordinate with Legal and landlords for timely executionAssist with developing and maintaining information processing procedures in Lucernex, including changes to the system database as appropriateOther duties as assignedPhysical Requirements
