Since its beginning in 2002, HousingPlus has worked to address the lack of housing and services for women who have historically been underserved and marginalized, especially women impacted by the criminal justice system, and for the past 10 years, also female Veterans. HousingPlus is hiring a Program Coordinator to join its growing Transitional and Permanent Supportive Housing Department. Reporting directly to the Chief Program Officer, this new position will provide crucial support assisting the CPO's scheduling, communications, and other administrative and operational needs while providing support to the Program Department.
This role offers an ideal opportunity for a candidate with administrative experience, organizational skills and impeccable attention to detail.
The Program Coordinator will provide high-level administrative support to the Chief Program Officer and Program Department and demonstrate strong communication skills including verbal, written, and presentation skills as well as demonstrate the ability to exercise good judgment and handle confidential matters with discretion. Responsibilities:
- Provides day-to-day administrative support to the CPO who oversees the entire program department of over 50 individuals including full time, part time, per-diem and temp staff.
- Provide day-to-day support to the Transitional and Permanent Supportive Housing program departments.
- Act as liaison between the CPO and other professionals in the office and/or cross departments.
- Complete reports on behalf of the program department to funders and external partners.
- Ensures leadership is kept informed of all issues of interest that relates to the Program's mission.
- Monitors progress toward accomplishment of various tasks and initiatives.
- Coordinating and overseeing the implementation of various programs, ensuring they align with organizational goals.
- Performs clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents.
- Drafts documents for the approval and signature of leadership within the Program Department.
- Coordinates, documents, monitors, and supports a variety of meetings and conferences to include, but not limited to, scheduling, and set up of physical and virtual meetings.
- Responding to emails and calls, coordinating meetings, compiling meeting materials, and working closely with the Chief Program Officer (CPO) to support the programs.
- Prepare agendas, reports and briefings for staff meetings.
- Maintain appointment calendars and conference room schedules.
- Assist with travel planning, travel arrangements within the Program department.
- Schedules and attends meetings on behalf of the CPO, taking notes and recording minutes.
- Receives incoming communication or memos on behalf of the CPO, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff.
- Performs office tasks including maintaining records, ordering supplies, and performing basic bookkeeping.
- Assist with scheduling staff training on office calendar.
- Sit it on meetings with CPO to take notes and provide follow up.
- Assist with meeting requests with the CPO.
- Assist with preparing charts, tables and other documents as needed by the CPO.
- Assist with organizing documents and materials needed for meetings and presentations.
- Receive messages and make calls on behalf of the CPO.
- Experience handling confidential client information and sensitive matters.
- Performs additional duties as assigned by the CPO.
- Evening hours as needed.
