The Receptionist provides general office support and oversees front desk operations. Responsibilities include answering and directing calls, distributing mail, managing correspondence, requisitioning supplies, and supporting administrative functions. As the first point of contact for visitors, clients, and employees, the Receptionist ensures a welcoming and professional environment while assisting multiple departments as needed.
Essential Functions:
1. 90%
- Greets and welcomes visitors, including vendors, clients, job candidates and customers in a courteous and professional manner.
- Maintains security by following procedures, monitoring the visitor log, and issuing visitor badges as needed.
- Answers, screens, and directs incoming calls to the appropriate personnel or department, transferring a caller to a voice mailbox when the associate is unavailable.
- Provides callers with information such as company address, jobsite address, directions to the company location, company fax numbers, company website and other related information.
- Receives and distributes mail, packages, and deliveries promptly.
- Handles incoming mail by receiving, sorting, and forwarding it appropriately, while maintaining and distributing publications.
- Coordinates the pick-up and delivery of express mail services (FedEx,UPS, etc.)
- Oversees and maintain the reception area, breakrooms, and mailroom to ensure they remain clean, organized and professional in appearance.
- Assists in ordering, receiving, stocking and distribution of office supplies and breakroom supplies.
2. Performs other duties as assigned. 10%
Education and Experience:
- High school diploma or equivalent.
- Previous experience as a receptionist, front desk representative, or a similar role within the construction industry preferred.
Skills/Abilities:
- Excellent interpersonal and customer service skills.
- Strong organizational and time management skills, with the ability to multitask and prioritize effectively.
- Strong attention to detail.
- Good computer skills with the ability to learn and use related software and systems.
- Proficient with Microsoft Office Suite (Word, Excel, Outlook).
- Ability to communicate effectively and professionally with office and field staff, both in person and through email.
- Ability to maintain a positive attitude at all times while working with vendors and field staff.
Physical Demands:
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift up to 20 pounds at times.
