As the Front Desk Coordinator, you'll be our organization's warm and welcoming face, creating a positive first impression for our clients and visitors. Think bubbly coffee barista, that is the vibe we are looking for. In this vital role, you'll manage reception duties and support a variety of administrative tasks throughout the company. You'll coordinate travel arrangements, order office supplies, reconcile executive credit card statements, arrange event catering, and help maintain our internal website. #1939OS

Key Responsibilities:

Provide exceptional customer service, making a positive first impression on clients, visitors, and staff through in-person interactions, phone calls, and written communication.Greet employees, onsite guests, interviews, and vendors who enter the building.Distribute and ensure all visitors sign an NDA, as well as ensure proper identification and onsite check-in.Manage travel arrangements for staff, including bookings and on-site guest coordination for domestic and international travel, adhering to corporate policies.Order catering for meetings and events and assist the Facilities team with setting up and cleaning conference areas as needed.Admin project support, creating PowerPoint presentations, writing and or updating SOPs, and other reporting or executive support projects.Manages Outlook calendars for conference room scheduling, meeting schedules, and corporate events.Handle corporate mail, deliveries, and faxes, ensuring they reach the appropriate staff. Prepare outgoing mail and maintain postage meter supplies.Maintain receipts and reconcile credit card statements for purchases made on the Central Services corporate card, assisting with executive expense reports as needed.Be open to taking on additional tasks as required.

Qualifications:

A professional and approachable demeanor with solid customer service skills at all organizational levels.Excellent verbal and written communication abilities.Able to work under pressure and meet deadlines when needed.Strong self-initiative, you will be given tasks with minimal instructions and direction and be expected to complete the tasks.Be open, not afraid to ask questions, and offer support to others.Capable of handling various administrative tasks, including sensitive and confidential matters, with a strong understanding of confidentiality.Ability to remain focused and composed amidst frequent interruptions.Creative problem-solving skills and strong organizational abilities.Proficiency in MS Office applications, including word processing, spreadsheets, PowerPoint, and Outlook.High school diploma or GED required.

Schedule :

7:30 AM - 5:00 PM; 2.5 hours of OT each week

This role operates within a professional office setting but requires mobility throughout the facility, including the manufacturing floor.

Physical Demands:

The physical requirements for this position may be adjusted for reasonable accommodations. You will primarily work at a computer workstation, communicate verbally, and move between offices and meeting spaces. Occasional lifting of up to 15 pounds, bending, stooping, and grasping may be necessary.
