Position Overview

The Administrative Assistant supports appointed executive positions in the organization through a variety of administration and coordinating responsibilities.

Schedule

1.0 FTE (40 hours/week) Mon-Fri, 8am-5pmFully onsite position at the Atrium Office in St Paul, MNHow Executive Assistants Empower Recovery

Manage executives' schedules and appointments (Outlook and My Avatar scheduling), schedule client appointments and check clients in for CSOLogistical and organizational support for meetings, internal trainings, and external presentations (find space, arrange video and conference calls, order lunch)Coordinate travel arrangements for Officers, other staff as directed by Officers, TEP Board of Directors, and guests of The Emily Program, including scheduling, travel arrangements, day of activities.Monitor email, voicemail and mail when Director is out of the office. Respond to urgent requests and organize responses needed upon Director's return to the officeDraft and/or format various business communications - emails, letters, documenting processes for The Emily Program and external programs as needed (REDC, AED, etc.)Handles highly confidential materials appropriately ensuring privacy is maintainedPrepare meeting agendas and/or presentations, attend and take notes in meetings and distribute minutes, including for TEP Board of Directors MeetingsCollect receipts and submit monthly expense reportsQualifications

High school diploma, required2+ years of administrative support experience at a Director level or above requiredSignificant experience using Word, Excel, PowerPoint and MS Outlook and ability to learn other applications requiredStrong customer service skills/experience strongly preferredWhat we offer:
