Are you a seasoned professional with a knack for organization, communication, and problem-solving? We are looking for a Permanent Intake Coordinator to join our dynamic team. The ideal candidate will be the first point of contact for our clients and will be responsible for coordinating all client intakes and referrals. This role requires a high level of professionalism, excellent communication skills, and a strong ability to multitask. This is a full-time, permanent position with competitive compensation and benefits.

Responsibilities:

  1. Serve as the first point of contact for all client intakes and referrals, providing a warm and professional welcome to all clients.
  2. Operate a multi-line phone system, answering all incoming calls promptly and professionally.
  3. Accurately record and update client information in our Electronic Records Management (ERM) system.
  4. Coordinate with internal teams to ensure smooth and efficient client intake and referral processes.
  5. Maintain strict client confidentiality in accordance with company policies and regulations.
  6. Handle all client inquiries and concerns promptly and professionally, escalating issues to management as necessary.
  7. Continually monitor and update intake and referral processes to ensure efficiency and effectiveness.
  8. Assist in the training of new staff on intake and referral processes.
  9. Participate in regular team meetings, providing updates and feedback on intake and referral processes.

Qualifications:

  1. Minimum of 2+ years of experience in a similar role, with a focus on intake coordination and multi-line phone system operation.
  2. Demonstrated experience with Electronic Records Management (ERM) systems.
  3. Exceptional communication and interpersonal skills, with a strong ability to build rapport with clients.
  4. Excellent organizational and multitasking abilities, with a strong attention to detail.
  5. Proven ability to handle sensitive client information with strict confidentiality.
  6. Strong problem-solving skills, with a proactive approach to identifying and resolving issues.
  7. Ability to work well in a team-oriented environment, contributing to a positive and supportive workplace culture.
  8. Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.
  9. High school diploma or equivalent required; Bachelor’s degree in a related field preferred.
