Our EVS & Patient Escort team

located in Wilmington Delaware, is looking for a full time Administrative Assistant II to type, file, and perform diversified clerical and secretarial duties to maintain departmental operations. Plans and coordinates office functions and routines in consultation with the Director or Manager to provide timely and efficient services.

The ideal candidate will be well organized, detail oriented and multitask. Candidate to complete tasks and duties within a prescribed timeline. Strong computer skills as well as good verbal and written communication skills.

Principal duties and responsibilities:Administrative Assistant to the Operations Manager for Environmental Services and Manager for Patient Escort at Wilmington Hospital.Types' letters, memorandums, minutes, reports, evaluations, disciplines, charts, forms, and records, which are often confidential in nature on the computer using several computer software packages.Prepares weekly payroll records, monitoring employee attendance and advises appropriate supervisor of attendance problems, and files documentation of action taken. Processes employee change forms as the need arises for transfers, and promotions.Maintains an efficient flow of paperwork. Processes all purchase requisitions in Workday and Strategic Sourcing All mail is opened, read, stamped, and distributed with deadline dates highlighted or noted. Xeroxes and distributes information as needed.Arranges meetings and schedules conference rooms for meetings, schedules interviews, appointments, and staff activities.Answers, screens and places telephone calls to vendors and employees. Assigning and coordination of service recovery requests to the EVS Caregivers. Completes and maintains personal calendar for and Managers and Team Leads as needed.Establishes, maintains, and revises record keeping and filing systems, sorts and files correspondence, records, and other documents.Reviews correspondence, memorandums, and other reports prepared by others for the preparer's signature for format, typographical accuracy, compliance with procedural instructions, and to ensure that the necessary background material is attached.Works within the hospital setting with poise and tact to acquire or exchange information, arrange meetings, and build the professional atmosphere needed to ensure smooth flow of information.Orders and maintains office supplies, forms and equipment and all supplies needed for the EVS Department.Assists in updating policy and procedure manuals.Running the Bed Capacity Management System.Courteous, Service Oriented, helpful attitude always.Maintains good public relations with all patients, visitors, and staff personnel.

Office Hours:

Day Shift - 7:30a - 4:00p

Qualifications:High school graduate or equivalent; Business/Secretarial curriculum preferred.Completion of a Business college program in secretarial science or office administration.One year secretarial or clerical experience.

Knowledge, skill, and ability requirements:Knowledge of business office practices, secretarial methods and techniques.Working knowledge for Bed Management System and ability to monitor bed turnaround times along with staff break schedules.Knowledge of office equipment and computers.Ability to learn departmental policies, procedures, and operations.Ability to operate standard office equipment such as personal computers, typewriters, photocopiers, calculators, etc.Ability to organize and prioritize work assignments, act independently, and manage various tasks simultaneously.Ability to enter, update, store and retrieve information using Personal Computer, using Microsoft Word, Excel, E-mail, and PowerPoint.Ability to establish and maintain files.Ability to maintain confidential information and materials, and to exercise judgment and tact.Ability to interact effectively and maintain constructive working relationships.Ability to type accurately 60 wpm.Skill in oral and written communications, along with a good math aptitude.
