The Executive Assistant is responsible for providing high-level administrative support to seniorlevel executives within the company, including but not limited to managing his/her schedule, travel,and expenses. The ideal candidate is highly organized, pragmatic, an expert multi-tasker and isnot easily overwhelmed. Additionally, the Executive Assistant is comfortable interfacing with alllevels of internal management and staff as well as outside clients, vendors and candidates in afast-paced environment. This role maintains and protects highly confidential corporate information,is the first point of contact both internally and externally, and works independently with minimalsupervision or direction.This role is based in Chicago, IL OR Austin, TX and is for an immediate start.Responsibilities
Manage and coordinate logistics for meetings, events, and travel for executivessupported and when necessary, members of their team.Ensure supported executives are prepared with all materials and information.Set up and break down catering, facilities, and A/V for meetings.Provide backup coverage for administrative team members in the office, includingreception and office services.Compile reports and/or presentations for meetings, events, and travel.Generate reports in Excel and PowerPoint.Prepare expense reports utilizing Concur.Qualifications
3+ years administrative support experience within a fast-paced professionalenvironment - private equity, investment banking, law firm or professional servicesexperience a plus.Proactive and pragmatic, considers all scenarios, gathers all pertinent informationbefore communicating.Strong attention to detail, follow-up and excellent organizational skills.Ability to treat sensitive and confidential information with appropriate discretion.Strong sense of urgency, adaptability, flexibility and resourcefulness.Ability to function professionally under pressure, while managing multiple concurrentprojects and deadlines.Proficiency in Microsoft Office, including Outlook, Word, and Excel; PowerPoint a plus.Must possess personal tact and good judgment; excellent interpersonal, written andverbal communication skills.Occasional after-hours work may be required.
