We are seeking a dynamic and experienced

Event and Trade Show Marketing Operations Lead

to join our events team within the Global Brand and Marketing Excellence team - corporate brand and global center of excellence. The Event & Trade Show Marketing Operations Lead plays a dual role: delivering events for the ETS corporate brand (ETS) and sub-brands (ETS Solutions, ETS Research Institute), and contributing to setting the standards via best practices for ETS’s independent brand teams, regional teams, and local markets as part of the corporate Center of Excellence.

Events and trade shows are a key pillar of how ETS goes to market to show thought leadership and drive quality leads. This role is pivotal in enhancing the presence of our new brand with its new brand positioning through successful planning, coordination, communication, and execution of trade shows, events, and conferences. The ideal candidate will bring a blend of strategic vision, operational expertise, and hands-on execution to elevate our trade show and event marketing efforts.

This role reports into the

Executive Director, Lead Event Strategist .

RESPONSIBILITIES

Successfully bring to life ETS’s corporate and owned events

to increase ETS’s thought leadership and brand relevance.

Plan and facilitate end-to-end logistics

for all events, including contract deal term negotiation, sponsorship fulfillment, attendee lists, venue preparation, catering, entertainment, transportation and equipment, booth design, and onsite execution on time and within aligned budgets.

Oversee event management software

for all events, including managing invite lists, communicating with attendees and stakeholders, execution, and reporting.

Collaborate with cross-functional teams

to ensure cohesive, impactful event experiences, create and deliver marketing assets, leverage event tech to drive results, and partner with broader marketing teams to ensure events are highlighted in integrated marketing plans.

Locate resources, visit sites, and lead pre-event meetings

to help staff make decisions about event design.

Support creation of documents, run meetings with internal stakeholders and customers

to keep everyone updated, aligned, and included in the process well in advance. Ensure consistent, high-level service throughout all phases.

Cultivating and maintaining relationships

with the Conference organizations we partner with.

Responsible for the inventory

and management of promotional items inventory, reordering, and shipment to conferences through the vendor or from the Princeton, NJ office.

Oversee event experiences from conception through post-event review ; manage on-site preparations, production, and event breakdown; and ensure consistent, high-level service throughout all phases.

Build and maintain a comprehensive database

of industry contacts, vendors, and venues.

Troubleshoot any issues

that arise prior to and during the event.

Participate in planning meetings , reviewing the details of events which he or she has been working on, answering questions from staff members, and discussing relevant logistical matters.

Ethical standards:

Adhere to ethical standards and comply with the laws and regulations applicable to the job function.

Travel

to select events as needed. This may include weekend and evening hours.

Experience and Skills:

EDUCATION

Bachelor’s degree in Marketing, Business Administration, a related field, or equivalent combination of education, training, and experience required.

EXPERIENCE

6+ years of experience in event and trade show management, preferably within the B2B sector.

Proven track record of successfully managing large-scale events and trade shows from conception to completion.

SKILLS

Strong

project management and organizational skills

with the ability to manage multiple projects simultaneously and attention to detail.

Excellent

interpersonal and communication skills , with a keen ability to build and maintain professional relationships.

Skilled at efficiently and effectively using

PowerPoint .

Creative thinker and problem solver

with a strategic mindset, ability to frame up problems and opportunities to drive decision making.

Proficiency in

event management software and tools .

Proven ability in a fast-paced environment

managing multiple collaborators and concurrent programs.

Ability to

focus and work under pressure , with the ability to prioritize and handle a variety of projects simultaneously.
