Job Summary:

We are seeking a Client Service Associate to join our team. In this role, you will play an integral part in creating a world-class client experience, responsible for ensuring client needs are met in a high quality and timely manner. A high degree of direct communication with prospects and clients is required. This role is a salaried 40 hours per week in-office position and will require some weekend and evening work related to client events throughout the year. The primary role of the Client Service Associate is to support assigned Wealth Advisors within 3 main categories of job responsibilities: Client Services, Operations/Trading, and Financial Planning & CRM support.

Responsibilities

Client Services:

Coordinate and prepare prospective clients for meetings.

Answer and route incoming calls to appropriate individuals.

Perform outcalls to clients in order to: set quarterly advisor appointments, project outcalls (RMD's, Tax Forms), and to touch base as needed.

Participate in client meetings as needed.

Complete tasks related to our milestone/loyalty program.

Follow up with clients RSVPs for various events.

Perform a variety of routine clerical tasks.

Operations/Trading:

Perform various tasks related to the onboarding of new clients.

Prepare new account applications, account transfers, account updates, and process cash distributions.

Trade securities in client accounts to maintain portfolio targets per investment methodology/strategy.

Work in Excel to audit/analyze data and create reports for senior management.

Follow up on unresolved client issues with an effective ability to resolve in a timely manner.

Utilize DocuSign to process forms electronically.

Perform client service/maintenance updates via custodian forms and processes.

Perform rollover and asset consolidation requests with clients and any necessary third parties.

Print & mail out quarterly reports as needed.

Financial Planning & CRM Support:

Gather planning data from clients.

Input data into MoneyGuidePro software.

Present results of preliminary plan to Advisor(s).

Maintain CRM data for clients.

Other project work as needed.

Qualifications

Education: 4-year college degree required.

Experience: 2 years in a support role required; financial industry experience required.

Excellent customer service skills.

Superior organizational & time management skills.

Ability to multitask with efficiency and accuracy.

Strong verbal & written communication skills.

Working knowledge of Microsoft Office Suite.

Comfortable & effective in a dynamic, flexible work environment requiring a high degree of self-motivation and accountability.
