Under the direction and guidance of the Deputy Director of Maintenance, the

Parts and Inventory Supervisor

is responsible for the day-to-day operations of the parts unit within the Alexandria Transit Company (ATC/DASH) Maintenance department and a key contributor in acquiring materials and parts utilized in the maintenance department that meet TMA standards. Controls the flow and accuracy of all TMA parts/inventory. Handles the planning, scheduling, cost, warehouse, receiving, and shipping activities including storage of different kinds of materials, supplies and equipment, and hazardous materials. Administers the materials budget and purchasing process and adheres to company policy. Ensures support for fleet/vehicle repair and replacement orders.

This position provides leadership and guidance to parts unit team members to achieve optimal performance that meets business demands and objectives. The salary range for this role is $88,000 - $92,000.

Responsibilities/Essential Functions:

Ensures the daily operations of the parts shop to ensure compliance with company policies and procedures, and local, state, and federal regulations.

Maintains clear communication and regularly updates the Deputy Director of Maintenance regarding parts/inventory unit performance.

Ensures the timely ordering, processing, receiving and allocation of parts, supplies, and maintenance inventory to meet business demands and objectives.

Monitors, analyzes, and reports on performance KPIs of parts and inventory to maximize the effectiveness and efficiency of maintenance department needs.

Provides recommendations to senior maintenance management regarding feedback and suggestions from parts/inventory customers to enhance inventory strategies and practices.

Works in conjunction with senior maintenance management and the Finance department to ensure compliance with procurement policy and processes requirements.

Acts as subject matter expert on bus specification changes, product updates, system updates, and fleet optimization, provides feedback to management as necessary.

Supervises the parts and inventory team members, provides sound guidance and training, and manages daily workloads. Works in tandem with maintenance management on personnel issues, disciplinary actions, and complaints as needed. Provides Deputy Director of Maintenance regular feedback and updates on team performance and goals.

Purchases inventory of parts through research, cataloging, organization, and warehousing; resolves inventory shortages and discrepancies.

Supports the Deputy Director of Maintenance on the design, planning, and implementation of parts issuance for vehicle repairs.

Processes and reviews accident damage repair estimates, warranty claims, core returns, and rebuild components in a timely and cost-effective manner.

Supports the maintenance senior management team in the monitoring and compliance of the ATC parts budget.

Maintains an inventory of department supplies, safety components, hardware, and tools via Fleetio Maintenance Management System; ensures that inventory levels are adequate and meet departmental standards and demands.

Tracks and maintains the request and approval of purchase orders and credit card purchases by parts unit via Tallyfy. Handles the reconciliation efforts pertaining to maintenance services and activities.

Adheres to applicable TMA policies and procedures regarding purchasing and procurement processes.

Uploads fuel usage daily and provides updates on changes in fuel cost.

Performs related tasks and duties as required.

Knowledge, Skills and Abilities:

Strong knowledge of transit maintenance parts services, facility maintenance services, and general vehicle maintenance and repairs.

Strong working knowledge of hardware and software programs, specifically those related to fleet inventory and parts management.

Familiar with public sector procurement and purchasing practices.

Proficient knowledge of Microsoft Office software (Word, Excel, PowerPoint, and Outlook).

Ability to interpret and adhere to Collective Bargaining Agreement.

Knowledge of all applicable Transportation based regulations such as OSHA, and FTA requirements.

Knowledge of safety regulations and corporate safety programs and policies.

Strong ability to establish and maintain effective working relationships with others.

Excellent ability to communicate effectively verbally and in writing.

Ability to provide guidance and direction to subordinates.

Ability to organize and prioritize tasks.

Excellent customer relations and employee motivation skills are a must.

Knowledge of finance and budgeting, including analytics and reporting.

Ability to maintain a professional and positive attitude.

Lifts heavy loads at times, at least 60 lbs.

Must be nimble and able to work in confined spaces.

Education and Experience:

An associates or technical degree from an accredited college or university with major coursework in supply chain management, purchasing, procurement, business administration or a related field is highly desired. Experience with hardware and software programs related to transit, parts or fleet inventory management required.

Minimum of three years of progressive parts and inventory support experience in transit operations or related required.

Knowledge of transit and commercial vehicle systems preferred.

Minimum of one year of supervisory experience required.

Experience in a labor/union environment preferred.

Relevant certification or training in Automotive Service Excellence (ASE), CPIM, inventory management, purchasing and procurement, or related programs preferred.

Extensive overall experience may be considered in lieu of advanced education.
