We are hiring for the role of Spa Operations Administrator. This full-time leadership opportunity is based out of the brand new Alyeska Nordic Spa in Girdwood, Alaska, and offers an excellent compensation and benefits package.

Achieving Excellence:

As the Spa Operations Administrator for the Nordic Spa, you are authorized to provide leadership support and ensure the administration runs smoothly and efficiently. You will showcase your organisational skills to oversee administrative and clerical activities, collect, organize and retrieve data, documents and information to ensure effective and efficient daily spa operations.

Summary of Responsibilities:

Supporting the leadership team with all administrative requirements

Ordering, storing and distributing office supplies and office equipment

Assisting in inventory management and ordering of all spa supplies working directly with the department leaders

Assembling, preparing, and analyzing data, creating reports and presentations on spa metrics such as daily sales, access counts, revenue per available locker, and other sell reports and rates. Compiling results into meaningful reports and spreadsheets.

Effectively manage the back end of the spa’s POS system with the ability to pull and input applicable data

Manage the daily, weekly and monthly payroll and benefits functions. Ensuring accuracy in our people’s data so it is accurate and error free

Processing invoices, receipts, and other basic accounting tasks

Tracking of expenses and managing petty cash

Log data related to logistic administration into spa software system

Reconciliation duties, reporting and monthly accrual duties

Preparing, proofreading, and formatting documents such as reports, memos, letters

Reviewing, and optimizing office operations to increase accuracy, productivity, and efficiency and reduce costs

Any other job or duties assigned by the ANS Leadership as and when required

Collaborate with our Corporate team to develop our Point of Sale (POS) system and contributed to the development and updating of Standard Operating Procedures (SOPs)

Champions safety protocols and ensure compliance with quality standards

Assists in recruitment, financial reviews, expense tracking, and other fiscal activities as needed

Assigned deliverables are executed in a manner that requires little or no follow-up; both in terms of timeliness, scope and quality

Education & Experience:

Previous administrative experience in Hospitality industry preferred

Proven financial acumen to enter and interpret data

Passion for Guest Service, Health and Wellness

Proficient in Windows, PMS and MS Office applications

Proficient in POS, hotel reservations systems

Excellent organization, verbal and written communication skills

Working Conditions:

This position may work long days and/or weekends to meet periodic upturn in business demands or meet deadlines. This position is set in a fast-paced environment, with high levels of interaction with employees, guests and other stakeholders. Working outdoors in a variety of Mountain weather conditions, with average temperature ranges of -22°F to +86°F.

Physical Demands:

The employee is regularly required to be on their feet, reaching with hands and arms and stoop, kneel, crouch, or crawl. The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, color vision, depth perception, and ability to adjust focus. Visual ability to observe employees in the workplace, analyze operations and detect situations of concern with regard to areas such as employee performance, grooming, training and policy adherence. Employee may be required to pass a functional capacity test developed for this job.
