Job Description:

The Real Estate Administration Manager role at OSJL manages and administers leases and related agreements across the entire real estate portfolio. This includes, but is not limited to, tracking lease status, rents, landlord/tenant relations, and payables/receivables (i.e., common area maintenance, real estate taxes) for all OSJL properties. The role also collaborates on related projects and initiatives, liaising with internal departments and external parties.

Key Responsibilities:

Manage and ensure that OSJL’s real estate portfolio operates smoothly by meticulously managing lease lifecycles and ensuring high-level customer service.

Act as a liaison between internal and external stakeholders.

Manage lease and property documentation. Ensure lease compliance through documentation management, prioritization, and schedule creation, serving as a liaison between internal departments (i.e., Real Estate, Legal, Finance, Property Development) and external parties (i.e., landlords, tenants, vendors).

Oversee and create billings for rent, utilities, payables/receivables, CAM, taxes, insurance, and other financial obligations, tracking them within lease or designated databases.

Maintain, manage, and update lease and property data in Integrated Workplace Management System (“IWMS”) and other relevant software.

Generate and ensure accurate lease agreements and abstracts for new and existing properties.

Audit and analyze lease and property documents, identifying discrepancies, and implementing solutions.

Manage requests and track lease/property documents (i.e, estoppels, certificates of insurance, commencement memoranda, SNDA agreements).

Certify, generate, and organize rent rolls, inputting data into IWMS, and rectifying discrepancies.

Respond promptly to internal inquiries and landlord/tenant letters.

Review landlord reconciliations, create real estate tax reconciliations/billings for tenants, and manage tax assessment appeals (with external partners).

Generate sales reports to landlords (as required).

Disseminate reports regularly.

Manage associate performance, write performance reviews, and provide coaching and feedback. As needed, delegate work and follow up with team members to confirm timely completion of tasks.

Assist with hiring, coaching, and disciplinary actions for team members as well as train new team members and act as a mentor to develop new teammates.

Qualifications:

Bachelor’s Degree and/or 5 or more years of relevant work experience or any similar combination of education and experience (background in real estate, finance, legal, property management) is required.

2 or more years of supervisory experience is preferred.

Ability to understand and interpret complex real estate and lease terminology is required.

Proficient with Microsoft Office and Google platform (i.e., Sites, Slides, Drive, Docs, Sheets).

Proficient with accounting, property management, and real estate software programs (e.g. Manhattan, Oracle).

Ability to work independently with minimal supervision.

Effective and efficient time management skills.

Detail oriented, organized and thorough.

Demonstrated ability to communicate effectively both verbally and in writing with all levels of leadership.

Work Environment:

Works primarily in a climate controlled environment with minimal safety and health hazard potential.

Works in an office environment remaining stationary at a desk, table, or computer workstation for extended periods of time. Frequently uses near vision for reading and computer tasks.
