Job Description - Third Party Billing & Collections Coordinator (2403528)Required Qualifications (as evidenced by an attached resume):Bachelor’s degree (foreign equivalent or higher). Two (2) years of progressively responsible full-time administrative experience. Experience with Microsoft Office Suite and/or Google Workspace.Preferred Qualifications:Master’s degree (foreign equivalent or higher) in Higher Education or related. Experience in higher education or in student financial services. Experience with third party billing or collections. PeopleSoft Student Finance experience.Brief Description of Duties:Under the direction of the Assistant Director of Student Accounts, the Third Party Billing and Collections Coordinator is responsible for billing and collections for students whose balances are covered by third parties (Commission for the Blind, NYU Langone, IIE, Fulbright, foreign nations, etc.). The incumbent will be the primary contact for covered students with billing questions. Responsible for the receipt, processing, and posting of external financial aid (Scholarships from outside entities, Stony Brook Foundation, Research Foundation, etc.). The incumbent will be responsible for the audit, review, and maintenance of delinquent accounts. Ensure accounts are submitted to appropriate collection agencies within SUNY and State Finance Law requirements.Third Party Billing Coordinator:

Oversee all processes and activities of the scholarship and third party payment area. Directly supervise and delegate tasks to support staff.Review University JP Morgan bank account daily for incoming third party payments. Post and resolve student awards for disbursement.

Collections:

Ensure that delinquent accounts are reviewed and forwarded to our third party collection agency and/or the Attorney General’s Office as quickly as possible in accordance with State Finance Law.Prepare accounts to be written off after review and authorization by the Bursar and Director of Student Accounts.Oversee the record maintenance processes for tuition and fees, other student related funds and other University funds; establish related policies and procedures.Assist in the timely and professional communication between the billing office and the third party collection agencies. Understand and implement policies and procedures in conjunction with accounts transferred.Conduct monthly and yearly audits of collections balances to ensure our records are accurate.

IRS 1098-T Tuition Statement Processing:

Assist with the review, testing and production of the 1098-T tax form; and serve as point of contact for students and other departments during the introduction of the W-9S form.

Customer Service:

Monitor and assist with the shared department inbox.Manage the third party billing inbox.

Other duties or projects as assigned as appropriate to rank and departmental mission.Special Notes:This is a full-time appointment.
