A 35-person Architecture and Engineering firm is seeking a strong organizational leader as Office Manager for their Columbia, MD headquarters. The candidate should have strong interpersonal and organizational skills with a passion for serving. Communication skills, including welcoming and phone responsibilities as well as office-wide written communication, are imperative. Knowledge of the industry and local community is appreciated. Reports directly to the ownership team.Responsibilities include:Back up for answering and directing incoming calls when the receptionist is awayVendor and office interface, scheduling, and coordination (security, internet/phone, copiers, cleaning, maintenance, HOA and neighboring tenants, product vendors and library)Special event planning (vendor lunches, happy hours, holiday parties)Payroll and invoicing – back up support to firm accountant (new project set up, lien releases, special invoice assistance)Recurring business office bills related to physical office and firm records (business licenses, personal licenses, service subscriptions)Maintain and modify employee records and files (personnel files, phone lists, employee PTO)Onboarding new employees (less than 5 a year) (1st day training, benefits set up)Administration of employee expense sheetsAdministration of employee time sheets/payroll assistanceNotaryFoster firm cultureSpecial clerical support to ownership (word processing and document support)Hard SkillsOffice ManagementAdministrativeExcel - UniNetSoft SkillsInterpersonal SkillsOrganizational SkillsCommunication SkillsJob TypeThis is a permanent position.Work SiteThis is a fully on-site position in Columbia, Maryland.
