Position Focus:

Reporting to the Deputy Dean at the Yale School of Architecture and with latitude for exercising discretion and independent judgment, provide a high level of managerial support to faculty engaging in research and other projects at the School. Work closely with School leadership, faculty, staff, postdocs, graduate students, visitors, internal and external colleagues and Faculty Research Management Services (FRMS) to research and plan projects, with the preparation of proposals and with managing daily project activities to meet objectives and to ensure deliverables are within budget and on time.

Ensure smooth workflow of projects by managing related facilities and equipment, maintaining and inventorying supplies and coordinating project related events and meetings. Oversee the buying and paying of goods and services, including capital equipment and large dollar services contracts. Act as the primary contact person for project contractors, including managing access to facilities and resources. Manage related project communications; websites, marketing and other printed materials.

Oversee and monitor compliance with sponsor and University policies and regulations regarding the administration of funds. Assist with no cost extension requests, track effort certification statuses, assist with the preparation of progress reports; assist with award close outs and the preparation of final financial and technical reports.

Act as liaison to assist collaborating institutions and organizations. Implement and manage the maintenance of systems to gather, track, and report information to support projects and create and manage internal policies that streamline workflows. Meet with project team members on an ongoing basis to identify and resolve issues and keep stakeholders informed about upcoming deadlines and deliverables.

Manage the implementation of detailed project plans in concert with stakeholders. Plan the logistical details and resources needed to execute project goals and deliverables. Monitor project schedules, expenditures, budgets and analyze financial data. Review and track account activity to ensure projects can support all current and new commitments.

Research and evaluate potential funding sources and contribute to the submission of proposals. Assist with the preparation of project budgets and gather data necessary to submit proposals in accordance with sponsor and university guidelines. Create detailed project plans including timelines, budgets and identify resources needed to ensure successful project completion.

Oversee, coordinate and track the hiring and onboarding of Postdocs, Postgrads and other project personnel as well as short-term visiting students and scholars who work on research and other projects.

Essential Duties

Manages special projects ranging from academic to financial from inception to completion, which requires quantitative analysis, independent research, and the proposal of resolutions or conclusions. Creates and envisions programmatic initiatives and communication strategies.

Designs and develops communications strategies for special projects. Develops and exercises a keen understanding of the multiple audiences and contributing University offices involved in a given project to ensure that individual communications are rolled out within a structure planned in advance and with appropriate communication among key stakeholders.

Envisions, creates and authors a wide variety of sensitive and high-level written materials. Serves as coordinator and executor for a range of internal and external committees. May participate in decisions regarding committee work. Advises panelists on precedents and prior actions.

Serves as Secretary for committee(s), manages informal and formal resolution processes and voluminous correspondence.

May supervise the work of project coordinator and administrative staff.

Serves as liaison to other departments on all communications.

Contributes to design, organization, and maintenance of department website.

May perform other duties as assigned.

Required Education and Experience : Bachelor’s Degree in a related field and four years of related demonstrated work experience or an equivalent combination of education and demonstrated experience.

Required Skill/Ability 1:

Effective multitasking and time management skills, including planning, organizing and simultaneously managing multiple projects with varying details, timelines and levels of complexity. Demonstrated ability to understand, manage and follow-up with multi-step transactions and processes. Well-developed organizational skills, attention to detail and accuracy.

Required Skill/Ability 2:

Ability to multitask and integrate several functions together and to independently prioritize work to meet deadlines.

Required Skill/Ability 3:

Excellent analytical and problem solving skills. Ability to work under pressure. Effective planning, monitoring, and reviewing skills. Demonstrated experience reviewing and managing project budgets and timelines.

Required Skill/Ability 4:

Working knowledge of project management software tools. Proficiency in Microsoft Excel, including demonstrated ability to manipulate data and develop reports within spreadsheets.

Required Skill/Ability 5:

Excellent customer service, written and oral communication skills. Ability to coordinate work carried out by different people and organizations.

Preferred Education, Experience and Skills:

Demonstrated experience with sponsored research administration.
