We're the driving force behind innovation in this vital sector and proud to be the cornerstone of progress.About the RoleThe Office Manager will be responsible for overseeing the daily operations of our Corporate Headquarters. They will maintain office services by performing a number of activities such as organizing office operations, controlling correspondence, and reviewing and approving supply requisitions. In addition, the Office Manager will be expected to be involved in a variety of activities ranging from, but not limited to, greeting visitors including board members and customers, answering incoming calls, and communicating and coordinating office procedures. In this role, the Office Manager will work closely and collaborate with the Shared Service Center in Charlotte, NC to ensure the company’s operations and business standards are maintained.Key ResponsibilitiesResponsible for management of the overall corporate office function.Oversee contracts and service providers for security, parking, cleaning, catering, building maintenance, and any other vendors necessary to ensure a smooth and efficient office is maintained that represents the corporate headquarters.Ensure that the office is efficiently and effectively run including but not limited to maintaining stock for office and kitchen supplies with a view to cost and company standards.Act as the first point of contact for incoming calls from customers and clients and direct them to the appropriate person.Maintain upkeep of office furniture, appliances, and electronics, as required.Coordinate trade shows and conferences for the company, including sign-up for the event, set-up and tear down of displays, and coordination of calendars and travel.Assist with internal communications through Constant Contact.Maintain and coordinate communications on social media sites, i.e. Facebook, Instagram, etc.Coordinate space planning and potential build-outs to create more efficient space.Collaborate and support all local functional departments.Ensure appropriate routing of incoming correspondence such as government requests and legal documents.Create processes that drive effectiveness.Work closely with the VP of HR to support the onboarding of new office employees.Monthly reporting of business expenses and office progress to the CFO.Facilitate internal communications to functional leaders and employees at that location.Perform general administrative tasks and any other duties as assigned.Key QualificationsAssociates degree in business administration or a similar degree.5+ years’ office management experience.Strong written and verbal communication skills to produce reports, assign tasks, and manage vendor contracts, among other tasks.Organization and the ability to multitask to complete a wide variety of tasks.Strong interpersonal skills to interact positively with all levels within the organization, customers, board members, and vendors.Leadership ability to manage challenges and oversee employees.Strong attention to detail.Experience setting up and managing standard operating procedures and business processes.Intermediate level knowledge of Microsoft Office Suite (Excel, Outlook, PowerPoint, and Word).Ability to operate independently as well as in a team environment.Key Info/Physical DemandsWhile performing the duties of this job, the employee is regularly required to sit for long periods of time; talk or hear; perform fine motor, hand and finger skills in the use of a keyboard, telephone, or writing.
