ASSISTANT DIRECTOR OF ADVANCEMENT SERVICES

SENIOR DIRECTOR OF ADVANCEMENT OPERATIONS & ANNUAL GIVING

DUTIES:

The Assistant Director of Advancement Services position is responsible for processing all donations to St. John's College. This position reports to the Director of Advancement Services and is a key member of the Advancement Services team, supporting the fundraising and engagement efforts of the Advancement Office. The successful candidate must be highly organized and pay close attention to detail. The position requires a high degree of professionalism and confidentiality. The Assistant Director will work closely with college staff administering donations, events, volunteers, and memberships for the College.

ESSENTIAL FUNCTIONS & RESPONSIBILITIES:

Donation Processing:

Process cash, checks, credit card and lockbox deposits, as well as electronic funds transfers for unrestricted and restricted gifts according to the Gift Acceptance Policy of St. John’s College (GAP) and other Standard Operating Procedures (SOPs). Determine donor ID, donor credit, fund designation, appeal code, campaign code, and acknowledgement letter code for each gift. Oversee bi-monthly recurring credit card & direct debit gift batches, communicate with constituents regarding declined payments, and ensure accurate processing of gifts. Reconcile donations with the Business Office monthly and maintain the Advancement Services SharePoint site.

Receipts and Acknowledgements:

Produce gift receipts within 48 hours of processing in RaisersEdge (RE) according to the Advancement Services policy. Maintain acknowledgment letter flowchart and print, assemble, and mail receipts and acknowledgments as needed.

Prospect Management:

Attend regular and ad-hoc Prospect Management and Data & Reporting meetings. Manage Prospect Opportunities on Donor Records and update donor opportunities for gift officer crediting.

Data:

Add new constituent records to the database, update contact information, and post email communications as actions on individual records.

Back-up:

Serve as back-up to the Assistant Director for Events, Memberships, and Volunteers.

Supervise and manage student staff as necessary and create SOPs for student staff on an as-needed basis.

Serve on committees related to donations, donation management, events, volunteers, and memberships.

Assist in handling telephone calls and emails, providing customer service to alumni and constituents, and processing returned mail.

PERFORMANCE MEASUREMENTS:

Timely and accurate gift processing and receipting.

Timely and accurate gift reconciliation with the Business Office.

Timely and accurate constituent biographical data management.

Effective participation in building policies/procedures that improve efficiency and compliance.

KNOWLEDGE & SKILLS:

Two to five years of similar or related experience.

A college degree.

Ability to communicate verbally with supervisors, co-workers, and students. Skilled in problem-solving and independent judgment when dealing with sensitive information.

Experience with computer databases and Microsoft Office 365 skills required. Strong oral and written communication skills are necessary. Knowledge of Blackbaud databases is desirable.

Ability to maintain confidentiality regarding all constituent data and perform a wide variety of administrative tasks.

Normal office activity of sitting, standing, walking, and carrying.

Pleasant working conditions, with the possibility of delivering information across campus in emergencies.
