Project Administrator

who will work to provide administrative support to Project Managers through managing project documentation and providing a high level of customer service to project teams and clients.You will be responsible for:Providing support during all phases of the project from pre-construction through closeout.Providing assistance with RFP/RFQ preparation, as needed.Completing project set-up and on-going project maintenance/updates in Viewpoint and AutoDesk.Creating project files and organizing and controlling job specific documents.Sending letters of intent and processing Owner Contracts.Organizing, preparing, submitting and tracking subcontracts, supply agreements and subcontractor/supplier change orders.Ordering payment and performance bonds, if necessary.Assisting with OCIP/CCIP enrollment paperwork.Assisting with HUD and LEED paperwork, as needed.Obtaining subcontractor certifications and compliance reports regarding apprenticeship, M/W/ESB and Section 3 programs, as needed.Uploading and posting Owner Change Orders/CIC’s into the system.Providing assistance with RFI and submittal processes.Obtaining W-9 forms from vendors new to Walsh Construction, as needed.Preparing AIA draw requests and invoices.Maintaining correspondence, including preparation and typing of various correspondence and documents, organizing and distributing Project Manager’s/Project Team mail.Providing clerical support including taking and processing meeting minutes.Collecting data and assembling the Operation and Maintenance Manuals for the owner.Acting as liaison between Project Managers, Clients, and Subcontractors, answering general questions and referring customers to Project Managers and various departments, as needed.Providing assistance to other Project Administrators, as needed.Assisting in relieving the front desk for breaks, lunches, and vacations, as needed.Providing training to new Project Administrators, as needed.Performing other duties as assigned.You are qualified if:You possess a High School diploma or equivalent, Associates Degree preferred.You have a minimum of two years administrative experience required, construction experience preferred.You are skilled in Microsoft Office products.You can demonstrate the ability to multi-task, stay organized, and show strong attention to detail.You are skilled at working with a variety of people at different levels while maintaining a strong customer focus.You are able to work in a team environment.You are able to perform independently and make decisions.You have a record of using the discretion needed for confidential/sensitive information.You can read, write, speak and understand English.You are able to address issues with tact and professionalism.Walsh Construction Co. values our diverse communities and is proud to be an Equal Opportunity Employer.
