As a Client Service Coordinator at the Azimont Group, you will be a part of a fast-paced environment on a small, highly reciprocal team of 15-20 professionals. You will play an integral role in the success of the Azimont Group by delivering extraordinary and consistent service experiences, providing administrative assistance, and managing client communication.The Client Service Coordinator provides a wide variety of support services to the team. A CSC follows established procedures to perform standard tasks, resolve questions and problems, and has routine contact with clients and vendors to deliver an exceptional client experience that defines and differentiates the practice. This position will consistently follow high standards of business and professional ethics and legal and regulatory requirements when dealing with others and/or performing work activities.Position Functions:Business Management – 30%Utilize existing systems and processes to ensure that all client communication and required follow up is documentedManage incoming emails and phones calls, routing them to the correct person to complete the client requestWork with home office to ensure accurate account setup and resolve issuesHandle incoming and outgoing mail, including processing of incoming checksHelp ensure that all compliance and licensing requirements are followedMaintain files and records in accordance with the records retention policyPerform other allowable duties as assigned by the financial advisor(s) and associate financial advisor(s)Client Care – 30%Greet clients upon arrival and extend hospitality to clientsSchedule meetings or appointmentsCommunicate with clients, provide account information, perform basic client level account maintenance, scheduling and escalation of client service requests, as necessaryCoordinate client appreciation events and seminarsAnswer unsolicited calls from prospects to schedule appointments or refer to advisorResponsible for managing and sending out birthday and holiday cardsTrack client special events and make appropriate contact per established client contact modelUtilize CRM to document and capture all client-related information and document client contacts/callsAdministrative/Office Management – 40%Order supplies and other office related itemsManage equipment and facilities, including equipment maintenance and vendor relationshipsEnsure that appropriate office signage and documentation is displayedCoordinate and schedule wholesalers and team lunchesKey Traits of a Successful Client Service Associate/Manager:Strong organizational and computer skillsDirect attention to detail and organizationEffective written and verbal communication with clients and other advisors/staffEffective and efficient time managementPolite and clear phone mannerAbility to multi-taskAbility to adhere to rules and regulations as stated and required by advisor and AmeripriseAbility to support and provide guidance for compliance within the advisor’s practicePositive attitude and sincere willingness to constantly learn and growAlignment with Azimont Group’s Core ValuesEducation and Other Designations:High School Diploma or GED2+ years of similar experienceAt Ameriprise Financial, we’re not just in the business of helping clients with their financial goals – we also help our advisors and employees reach their true potential by embracing an inclusive and collaborative culture.
