Position Summary:The Artistic and Executive Administrator provides administrative support for the programming operation of the Louisiana Philharmonic Orchestra (LPO). This includes subscription, specials, chamber, small ensemble, education, and community concerts. This individual works closely with LPO Committees (Artistic Programming, Artistic Leadership, Program Development, and Education & Community) to coordinate and execute the artistic vision of the organization. Additionally, this individual will provide administrative support to the Executive Director. The LPO is a Musician governed and collaboratively operated organization.Primary ResponsibilitiesProgramming Responsibilities

Provides administrative support to the Artistic Programming, Artistic Leadership, Program Development, and Education & Community committees.Work with LPO Committees, Music Director, and Executive Director to help shape and define season programming and long-term artistic plans.Prepare materials for season planning and committee meetings.Research potential guest conductors, artists, and collaborators.In coordination with Artistic Manager, assist with artist care duties, including travel, transportation, hospitality, and artist duty for concerts.Arrive at rehearsals and performances early to interface with musicians, guest artists, and audience.Assist marketing department with content for and proofing of publications including brochures, program notes, advertisements etc.Enter and maintain accurate artist records in tracking systems such as OPAS, the Artist Database, and other artistic documents.Liaise with finance department to ensure timely and proper payments for invoices and contracts. Prepares invoices for outside entities as needed.

Administrative and Executive Director Support

Manages Executive Director’s calendar.Take meeting minutes as required for committee meetings.Prepares meeting documents and packets as needed.Serves as a primary contact for artists, conductors and artist management including handling agent cold calls.Serves as the primary point of contact (internally and externally) for the Executive Director about concerts and artistic matters, coordinating between every department to help facilitate the smooth operation of programming related initiatives.In consultation with Marketing & Development staff, drafts communications, briefs and talking points for Executive Director.Other duties as assigned by Executive Director.

Position Requirements:Bachelor’s degree or conservatory studies in Music or Arts Administration required. Significant relevant work experience may be substituted for degree.Professional orchestra performance experience preferred.Familiarity with orchestral and chamber music required. Appreciation for other forms of music encouraged and welcomed.Desired three years of experience in an arts/music organization of similar or larger size, or equivalent experience in a related field.Successful experience working with orchestral musicians and conductors.Ability to work with and maintain confidential data.Ability to apply troubleshooting and problem-solving skills as issues arise.Ability to promote a positive and passionate work atmosphere by behaving and communicating with internal and external contacts in a manner using considerable professionalism, tact and enthusiasm. Ability to interact with others in a manner that inspires trust and confidence.Must have passion for excellence along with professionalism, dedication and commitment.Excellent planning and organizational skills.Outstanding oral and written communications skills.Demonstrated success motivating and developing staff, musicians, and volunteers.Results and team-oriented work style characterized by a creative and tenacious approach to problem solving.Flexible and resilient – comfortable embracing change.Unwavering commitment to artistic excellence.Ability to use various computer applications including proficiency in the use of Microsoft Office. Significant experience with OPAS and Microsoft Excel preferred.Willing to work regular evenings and weekends.Reliable transportation required.
