SUMMARY
Under the general guidance of the IT CTO Program Manager, the Project Coordinator will lead the assessment, planning and activation of projects within the CTO Portfolios. They will collaborate closely with the Sponsors, Stakeholders, CTO Program Managers, Project Manager and Project Team to ensure all requirements are documented and projects are completed efficiently while meeting all objectives.
Project Management SKILLS/EXPERIENCE:
Bachelor's Degree or equivalent experience
Previous experience required in project coordination or related roles
Demonstrated experience as a project coordinator in managing large and complex projects
Excellent verbal and written communication skills
Excellent critical thinking and business analysis skills with problem solving abilities
Excellent organizational and time management skills
Effective group facilitation, mediation, and conflict resolution skills
Effective ability to relate and collaborate with technical and non-technical teams
General knowledge of policy & procedure creation and governance
General knowledge of HIPAA regulations and other state and federal regulations
Proficient at creating varied reports and roll-ups with recommendations that lead to successful and positive outcomes
Ability to tie back business outcomes to project outcomes
Able to identify, develop and maintain processes that improve business outcomes
Proficient in Microsoft 365 product suite (MS Outlook, Teams, Word, Excel, PowerPoint, Visio)
Experience with Project & Portfolio Management software (e.g., Clarity)
Exhibits a keen sense of customer service and attention to detail
Thrives on challenges in a fluid working environment and takes initiative to understand new technologies
Contributes to team performance that helps build a motivated and productive team
RESPONSIBILITIES
Collaborate with the UCLA Health IT PMO to understand and follow established processes
Utilize UPlan (branded version of CA Clarity PPM tool) to lead, manage, schedule, and track all projects assigned
Conduct initial assessments and support projects through the project life cycle to deliver results
Collaborate with IT teams, cross-functional teams, and stakeholders to gather requirements, estimate resource hours and continuously inform on assigned projects
Create and maintain documentation artifacts including, but not limited to, project schedules, charters, RACIs, communication plans, status reports, and lessons learned
Create and/or give presentations to varied audiences including Executive Management
Identify and timely/appropriately notify Management of project issues and risks
Oversee vendor relationships as necessary for an assigned project
Schedule and lead meetings with published agendas and minutes
Utilize strong organizational, time management, decision making, and critical thinking skills
Balance business needs with information risk management strategies
Research technologies being implemented to ensure a good working knowledge that would be expected from a Project Coordinator
Conduct information gathering of the current state where technologies are being implemented to ensure appropriate planning and requirements gathering that would be expected from a Project Coordinator
Work independently in a fast-paced environment, effectively managing and prioritizing multiple tasks and projects with deadlines simultaneously
Maintain working knowledge of common information security, state, and federal privacy standards, laws, and government regulations particularly those involving the healthcare industry
