This job description is intended to describe the general nature and level of work performed by employees assigned to this department. This is not an exhaustive list of all duties and responsibilities, and LCMC Health reserves the right to amend and change responsibilities to meet organizational needs as necessary.

GENERAL DUTIESMaintenance:

Maintains the perpetual inventory using the guidelines established by the Distribution Manager.

Inventories supplies daily and reorders via the Materials Management Information System to support superior patient care and cost control.

Establishes, monitors, and adjusts supply par levels according to utilization trends which are reviewed and adjusted on a regular basis.

Ensures accuracy of supply documentation and assists with data entry and maintenance of perpetual and par inventory areas.

Technology Usage:

Gives instruction to buyers to expedite backorders or acquires acceptable product substitutes for patient care delivery.

Uses appropriate electronic technology and mobile supply chain systems to maintain flow of supplies.

Assists with maintenance of automated supply systems and handheld computer systems.

Performs routine cycle counts and participates in physical inventory.

Communication:

Communicates all related information to clinical staff through appropriate methods.

Coordinates the availability of case specific supplies and vendor support.

Follows and enforces hospital approval process for new products, (Value Analysis Team).

Communicates all relevant special-order supply and equipment information to OR schedulers and clinical management at least one day prior to procedure date.

Coordinates equipment safety checks with Biomed prior to use in the department.

Information System Procedures:

Collects all unused products or equipment and returns to vendor for credit.

Maintains accurate and timely processing of all purchase order transactions through the Materials Management Information System to assure timely receipt and payment.

Assures that all Information System policies and procedures are followed at all times (as outlined in IHS Buyer's Guide).

Maintains complete and accurate supply files and purchase requisitions.

Verifies accuracy of billable invoices and reports discrepancies.

Tracking and documentation of implants: Reviews all monthly financial reports for accuracy.

Other Duties:

Informs Patient Care Director of variation or changes in supply consumption.

Works with Purchasing to correct any errors.

Assists in maintaining tissue tracking tools; ensures proper handling and temperature standards are met per JACHO guidelines.

Maintains consignment implant inventory; reports usage to purchasing and/or vendors.

Assistance:

Assists in researching and purchasing best-value products and services to ensure the proper needs and goals of the surgeons.

Ensures compliance with GPO and Organization-specific contracts.

Assists in research of new product information for end-user and communicates new needs or problems with products to management.

Assists with obtaining information for recall notification.

Ensures that pricing availability and approximate delivery date information is given to end-user as needed.

EDUCATION/EXPERIENCE QUALIFICATIONS

High School Diploma/GED or equivalent and 5 (five) years of experience in Medical Supply Chain, Procurement, and issue of supplies in a perpetual inventory environment as well as prior experience working in a surgical setting.

KNOWLEDGE, SKILLS, AND ABILITIES

Strong mathematical and analytical skills.

Ability to analyze financial and budgetary reports.

Excellent verbal and written communication skills.

Ability to function in a clean/sterile environment.

Understanding of product standardization and cost saving concepts.
