Summary:

The Senior Project Manager will be responsible for the detailed coordination of each project, coordinating a team of Project Managers and Assistant Project Managers to effectively communicate and coordinate protocol between City Officials, clients, and upper executive level to minimize negative and unexpected impacts during the construction permitting process on a national scale.

This also includes management of issues, risks, and project change requests to ensure successful and on-time project delivery. The SPM has the authority to run the project on a day-to-day basis. Verify that the project produces the required deliverables of quality, within the specified constraints of time and cost and to achieve the potential benefits defined.

The SPM must resolve the often-conflicting interests of the client, architect, engineer and other parties participating in the project. The SPM must ensure that the plans meet various compliances. Throughout the project, the SPM is responsible for tracking the schedule and keeping interested parties aware of the progress of the work. The SPM is the key person responsible throughout the duration of the approval, permit, sign off, etc. and will be the primary client contact for each project’s status and update information.

Responsibilities:

Plans, coordinates and leads project activities to ensure the attainment of objectives and schedules.

Creates and manages all project management deliverables including project plan, resource plan, management reporting, risk/issues, meeting minutes, etc.

Coordinates with Project Manager, Assistant Project Manager and Filing Representatives to meet client project schedule and deliverables.

Full project life cycle ownership: successful project delivery will include full implementation from initiation to deployment for one major or several minor initiatives simultaneously.

Defines the Scope of Work and Specifications for the requested goods and services.

Develops and manages all aspects of project and program engagement from planning, external vendor relationships, communications, resources, risks, and issues.

Tracks all jobs through municipality from filling through sign off or occupancy as required.

Acts as the point of contact for the project for all internal departments.

Cross reviews packages with Project Manager before releasing submission to municipality.

Circulates Request for Information (RFI) for initial or sign-off of applications and follow up with parties as necessary until process is complete.

Updates WAVE (Salesforce) regarding receivables, service completions, pertinent project information notation and project updates.

Achieves monthly productivity goals/expectations set by the Production Manager.

Is the primary contact for the client and updates the internal and external teams on project milestones such as but not limited to filings, approvals, permits, letter of completion and other municipality updates. Must be aware of the status of all team projects.

Manages all aspects of multiple related projects to ensure the overall program is aligned to and directly supports the achievement of strategic objectives.

Adheres to company’s standard operating procedures to successfully execute tasks.

Acts as an internal quality control check for the project.

Monitors, tracks, and controls outcomes to resolve issues, conflicts among team members.

Notifies Production Manager and/or Director of any problems that arise during a project to work towards resolution.

Acts as filing representative as needed.

Performs additional duties as needed.

Reporting

Provide status reporting regarding project milestones, deliverable, dependencies, risks, and issues, communicating across leadership.

Develop and deliver progress reports, requirements documentation and presentations to various audiences, including project team, President, Director of Projects, and clients.

Determine the frequency and content of status reports from the project and program team, analyze results and troubleshoot problem areas.

Strong listening/writing skills and attention to detail are needed to capture relevant points from meetings or emails and to lead creation of various documents and materials for project and/or reporting purposes.

Leadership

Participates in establishing practices, templates, policies, tools, and partnerships to expand and mature these capabilities for the organization.

Procure adequate resources to achieve project objectives in planned timeframes.

Manages the day-to-day project activities and resources and chairs the project management team meetings.

Understand interdependencies between technology, municipalities, operations, and business needs.

Demonstrates a functional acumen to support how solutions will address client goals while maintaining alignment with industry best practices.

Manages project scope and changes.

Team Guidance

Coaches, mentors, motivates team.

Continues professional development to keep abreast of emerging technologies, methods, and best practices.

Extensive understanding of project and program management principles, methods, and techniques.

Familiarizes the team with the client/account needs, specifications, design targets, the permitting process, design interpretation, techniques, and tools to support task performance.

Guides and advises team on best practices regarding any situations/issues with Clients and/or business etiquette.

Monitors all communications to ensure clarity and professionalism from all parties involved.

Education and/or Experience:

Bachelor’s degree and three to five years of comparable experience required.

Strong communication skills, both oral and written, are a must as are solid listening skills.

Must be a team player with strong initiative, a desire to learn and able to complete tasks independently on project as directed by manager.

Must possess strong organizational and problem-solving skills along with the ability to multi-task.

Must be able to work independently, as a team leader and collaborate with other internal departments.

Knowledge of Microsoft Software.

Customer Service

Demonstrate flexibility in satisfying customer demands in a high-volume production environment. Maintains the highest levels of customer care while demonstrating a friendly and cooperative attitude either verbally or written communication.

Work EnvironmentThis job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Physical Demands

Compensation :

Milrose Consultants, LLC is committed to fair and equitable compensation practices. Salary ranges are determined through alignment with market data. Base salary offered is determined by several factors including the candidate’s experience, qualifications, and skills.

Annual Salary Range:

$77,000.00-$90,000.00 USD

Expected Hours of WorkThis is a full-time position who is regularly scheduled to work at least 40 hours per workweek.

TravelTravel to client site or municipal agency as expected for this position. Associate may be required to attend meetings at the discretion of management and/or if it is project related.
