Job Description

The Group Sales Coordinator is responsible for supporting the sales and catering teams in delivering exceptional service to group clients. This role includes managing daily operations, ensuring the accuracy of contracts, organizing event details, and maintaining communication between departments to guarantee smooth execution of events. The coordinator also assists with administrative duties, sales support, and inventory management to enhance customer satisfaction and operational efficiency.Job Responsibilities

Daily ResponsibilitiesManage day meetings, in-house bookings, and provide CSM (Customer Service Management) assistance.Review contracts for accuracy, concessions, and important details, ensuring all data is correctly entered into Salesforce.Assist in event detailing, including meal planning, assigning BEO (Banquet Event Order) numbers, updating headcounts, and ensuring error-free documentation.Track property inventory and provide alerts as needed.Support vendors by managing orders, invoicing, and tracking for items such as rentals, musicians, security, and team-building activities.Prepare resumes, client folders, and final invoices, ensuring timely tracking.Coordinate group signage (menu, bar, directional, box lunch, dietary labels).Prepare check-in files, meal tickets, badges, and client gifts for arrival.Conduct meeting room quality checks and follow up with the necessary departments.Perform daily check-ins with groups on site.Weekly ResponsibilitiesDistribute BEO catering packets.Support VIP groups and events.Send introduction letters to CSMs.Ensure office areas are neat and organized.Manage office supply orders.Cross-Trained DutiesHandle lead catching for all sales opportunities.Oversee group deposits, invoicing, receipts, and payments for events such as weddings and day meetings.Coordinate file turnovers for groups and weddings.Manage sales reporting and prepare sales kits for the front desk and sales managers.Answer phones, manage addendums, and handle turnovers as needed based on workload.Maintain organized filing systems.Qualifications

Skills & QualificationsStrong attention to detail and organizational skills.Experience with event coordination and client-facing roles.Ability to manage multiple projects and meet deadlines.Excellent communication and teamwork skills.Prior experience in hospitality, catering, or event sales is preferred.EducationBachelor’s Degree, or equivalent work experience.About Aramark
