The administrative director of ambulatory finance plays a critical role in overseeing the financial health of CAMC Ambulatory, a large multispecialty physician enterprise. This position is responsible for developing financial strategies, managing budgets, and overseeing physician contracts and production metrics while supporting the organization’s mission to provide high-quality patient-centric care.

Work Environment:

The administrative director of ambulatory finance typically works in an office setting within the ambulatory department. Occasional travel to different practice locations may be required for audits or meetings.

Reporting Structure:

The administrative director of ambulatory finance reports to the Vice President of Ambulatory Services and collaborates closely with other department heads and stakeholders.

Responsibilities:

Financial Planning and Strategy:

Develop and implement long-term financial strategies to support the growth and sustainability of the ambulatory department. Analyze possible new practice acquisitions to determine profitability. Collaborate with leadership to develop and analyze proformas for new services and providers. Collaborate with senior leadership to set financial goals and objectives aligned with the organization’s mission.

Budget Management:

Prepare, monitor, and analyze annual budgets, ensuring alignment with operational goals. Conduct regular variance analysis to assess performance against the budget and work with the leadership team to implement corrective actions as necessary. Monitor and analyze productivity of clinics.

Financial Reporting:

Prepare timely and accurate financial statements, including income statements, balance sheets, and cash flow reports for the department and individual clinics. Present financial reports to senior management, highlighting key financial metrics and trends.

Revenue Cycle Management:

Analyze revenue cycle metrics and implement strategies to improve efficiency and effectiveness in collaboration with the VP of Revenue Cycle.

Physician Contracts Management:

Manage contracts for physicians, ensuring terms align with organizational goals and regulatory requirements. Monitor provider contract specifics such as CME, Dues, and all bonus payments.

Physician Production and RVU Calculations:

Monitor physician productivity metrics, including Relative Value Units (RVUs), to assess performance and compensation. Develop and maintain RVU calculation methodologies to ensure accurate reporting and equitable compensation structures. Provide regular reports to management on physician production, identifying trends and areas for improvement.

Compliance and Risk Management:

Work with the compliance office to ensure compliance with healthcare regulations, including Medicare and Medicaid billing requirements. Conduct regular audits to identify financial risks and implement mitigation strategies.

Cost Control and Analysis:

Analyze operating expenses and identify areas for cost reduction without compromising patient care. Evaluate departmental financial performance and recommend strategies for improvement.

Team Leadership and Development:

Lead and mentor the finance team, promoting professional growth and development. Foster a culture of accountability and performance excellence within the finance department.

Collaboration with Clinical Staff:

Work closely with clinical and operational leaders to align financial strategies with clinical objectives. Provide financial insights to support decision-making in clinical services and operational initiatives.

Technology and Systems Management:

Oversee the training and optimization of clinical financial software and workflows in clinicals. Identify and implement technology solutions that enhance financial reporting, analysis, and data capture.

Education and Staff Development:

Prepare and deliver periodic financial education to department and medical leadership on topics important to the organization.

Malpractice Management:

Monitor policies for all employed providers, including tracking payment and renewal times.

Knowledge, Skills & Abilities:

Patient Group Knowledge (Only applies to positions with direct patient contact): The employee must possess/obtain (by the end of the orientation period) and demonstrate the knowledge and skills necessary to provide developmentally appropriate assessment, treatment, or care as defined by the department’s identified patient ages. Specifically, the employee must be able to demonstrate competency in: 1) ability to obtain and interpret information in terms of patient needs; 2) knowledge of growth and development; and 3) understanding of the range of treatment needed by the patients.

Competency Statement:

Education:

Bachelor's Degree (Required) in finance, Accounting, or related field; Master’s degree or CPA preferred. Minimum of 7-10 years of financial management experience, preferably in a healthcare setting.
