We are looking for an Executive Assistant to join our team based in Geneva, who will report directly to the CEO and provide support at executive levels for the Trading & Shipping branch of TotalEnergies.

Your Responsibilities:Organising business travels, including the booking of flights, hotels, car rentals, and arranging all relevant authorisation documents, including visas.Preparing and submitting expense claims.Managing complex agendas and a large amount of emails.Providing secretarial and administrative support.Distributing and redirecting DHL, courier, mail, and parcels.Assisting in organising meetings, setting up equipment, and ensuring meeting rooms are booked and all equipment is working.Updating all personnel data necessary for travel arrangements and maintaining such data in a dedicated IT tool.Participating in the coordination of corporate events when required.Completing any ad hoc tasks as directed.
