Position Overview:
The Office Administrator will oversee the daily operations of our Chicago office, supporting a team of 30 employees. This role involves a variety of administrative tasks to ensure a smooth and efficient work environment.
Key Responsibilities:
Support Management:
Assist with drafting reports, presentations, and spreadsheets as needed. Organize travel arrangements and maintain schedules for team members.
Communication:
Manage incoming calls, directing them appropriately, and distribute voicemail messages. Greet visitors and ensure they are welcomed and registered with building security.
Mail Management:
Distribute daily incoming mail and packages.
Event Coordination:
Coordinate AIA presentations, including registration and certificate issuance. Support meeting logistics and assist with organizing corporate functions.
Office Maintenance:
Schedule repairs and maintenance for office equipment and facilities.
Administrative Support:
Provide backup for warranty administration and literature fulfillment tasks as needed.
Qualifications:
Must be punctual and reliable, available for an 8-hour in-office schedule.
Excellent interpersonal skills with a professional demeanor.
Experience with multi-line phone systems and strong phone etiquette.
Proficient in Microsoft Word, Excel, and PowerPoint.
Associate degree or higher is required.
