Job Description:

The Marketing Administrative Assistant will provide high-level administrative and secretarial support to the Chief Marketing Officers (CMOs) and assist the marketing department. This role is ideal for someone who thrives in a fast-paced, high-visibility environment, coordinating meetings, managing calendars, and handling sensitive materials with discretion. You will work closely with marketing leadership and support a variety of marketing initiatives, ensuring smooth day-to-day operations.

Key Responsibilities:

Coordinate and manage the CMOs’ schedules, meetings, and travel arrangements.

Serve as the first point of contact for the CMOs, handling correspondence, phone calls, and communications with internal and external stakeholders.

Draft and edit correspondence, reports, presentations, and other documents.

Organize logistics for departmental meetings, conferences, and special events.

Maintain and update the marketing department’s calendar and documentation.

Assist with administrative duties, including processing invoices, handling expense reports, and managing electronic and physical filing systems.

Act as the out-of-office contact for functional directors, providing support as needed.

Coordinate service awards and special events, along with regular anniversary acknowledgments for staff.

Qualifications:

Required:

High School diploma or equivalent.

Minimum of 5 years of experience in an administrative or executive assistant role.

Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.

Strong organizational skills and attention to detail.

Excellent grammar, punctuation, and proofreading skills.

Preferred:

Bachelor's degree.

Experience in a legal or marketing environment.

Familiarity with Microsoft Visio and document management systems.

Ability to type at least 55 words per minute.

Additional Details:

Schedule:

Full-time, 35-hour work week (Monday-Friday, 9am-5pm), with potential for overtime.

Work Environment:

Minimum of three days in the office per week, with flexibility. Wednesday is a mandatory in-office day for the marketing department.
