Job Summary:

As the Senior Executive Assistant, you’ll work closely with a tight-knit team that sets the entire company up for success. In this role, you’ll serve as one of the primary individuals responsible for the CEO and executive staff members. Your primary responsibilities will include supporting the CEO with both personal and business-related tasks. Values alignment is crucial in this position. Since you’ll have close proximity to the CEO and leadership teams, it’s essential that you deeply resonate with their values.

In this role, you’ll be responsible for a wide range of tasks, including researching, booking, arranging travel, office management, and handling business and personal tasks for the CEO.

Key Responsibilities:

Manage projects on behalf of the CEO to ensure that the team is held accountable.

Assist and communicate with executives in decision-making, program management, and initiatives.

Host and document project status from these meetings, ensuring accountability for all attendees.

Manage the Asana task list of activities, including tasks assigned to team members.

Remind executives of important tasks, due dates, and decisions to be made.

Research and purchase gifts for both business and personal occasions.

Promote transparency within the Company through collaboration and communication.

Effectively and kindly communicate with team members and external stakeholders.

Anticipate the CEO’s needs 3-5 steps ahead.

Assist with workshop tasks as needed by the People Operations team.

Conduct appropriate research on behalf of the Executives to help them focus on new projects, ventures, and other important matters.

Ensure that the Executive’s calendar is pre-planned each week or created and reviewed the week before.

Requirements:

Ability to work well under pressure and in fast-paced situations.

Adaptability to the rapid growth of the company.

Proven success in project management.

High managerial skills.

Familiarity with administrative systems and SOPs.

Strong communication skills, including discretion, confidentiality, adaptability, active listening, precision, and articulation.

Ability to learn new software quickly.

Proficiency in writing emails, memos, reports, and other documents with clarity and precision.

Ability to maintain accuracy and discretion under high-level administrative tasks.

Willingness to be on-call as needed.

Flexibility to be available outside of "working hours" is essential.
