CONFIDENTIAL SENIOR EXECUTIVE ASSISTANT TO THESUPERINTENDENT OF SCHOOLS

DEPARTMENT : Superintendent's Office

REPORTS TO : Superintendent of Schools

BRIEF JOB DESCRIPTION : Assists the Superintendent of Schools in providing a broad range of administrative support. Functions as liaison between the Superintendent's Office, parents, students, business community, school staff, and city/state officials. Manages the day-to-day office operations of Superintendent's office ensuring the work is carried out without interruption, hindrance, or breach of confidence or confidentiality requirements.

PRIMARY FUNCTIONS OF THE JOB :

Prepares and disseminates agendas and other relevant documents as needed for meetings.Keeps and maintains accurate records and reports.Provides administrative support to the Superintendent which includes scheduling meetings, maintaining an accurate calendar and the Superintendent's checklist.Maintains office organization and functionality, including monitoring and ordering supplies, and obtaining quotes.Organizes and maintains filing system, ensuring confidentiality requirements are met.Receives and responds timely to telephone calls and emails.Processes orders and invoices as well as resolves issues with vendors.Monitors the Superintendent's budget with the assistance of the business office.Facilitates registration and travel arrangements for conferences and out-of-state meetings.Attends meetings and takes notes as requested.Greets visitors and staff in a professional manner, determines their needs, checks appointments and escorts or directs them to the appropriate person.Responsible for confidential and time-sensitive information and records for the Superintendent necessary for the proper administration of the district and makes such information available to authorized personnel.Performs the Superintendent's administrative needs and ensures the completion of complex and frequently confidential assignments.Has vast experience with Microsoft Office, Excel, PowerPoint.Performs computer applications (spreadsheet, database, word processing, mail merge documents, prepare labels, email, and internet searches).Coordinates with the Executive Confidential Assistant to the School Committee.Performs all other assigned duties.EDUCATIONAL & JOB EXPERIENCE REQUIREMENTS :High School diploma and minimum of 5 years of related experience required or bachelor's degree or higher with 3 or more years of experience.ADDITIONAL INFORMATION :
