Position Overview:

We are looking for an organized and proactive

Administrative Assistant

to support our

Finance

and

Operations

functions within the organization while serving as a collaborative team player. This role involves coordinating activities, managing logistics, and ensuring a seamless experience for both employees and guests.

Key Responsibilities:

Scheduling & Coordination:

Coordinate and schedule cross-functional meetings and interviews, ensuring all participants are informed and prepared. Manage the logistics for on-site visits, escorting candidates and guests while providing a welcoming experience.

Contractor Support:

Book meetings on behalf of contractors and leadership to ensure smooth coordination across schedules.

Meeting & Event Logistics:

Assist in planning and coordinating team meetings and engagement activities, including catering orders for events. Book conference rooms, set up spaces, and ensure all necessary technology is functioning properly.

Office Support & Logistics:

Maintain inventory of office supplies and coordinate maintenance requests for equipment and facilities. Provide logistical support for all hands meetings, including invites and meeting links. Be knowledgeable about company resources to assist staff and new employees with inquiries about office logistics and available resources.

Guest Relations & Onboarding:

Support the onboarding process for new team members by ensuring workstations are ready and guiding them through office tours. Collect and distribute welcome materials for guests and candidates, ensuring all logistics are managed smoothly during visits.

Additional Tasks:

Perform other tasks as needed to support the team and the organization effectively.

Qualifications and Requirements:

Attitude:

Optimistic, thoughtful and likes to move fast. Ability to think on your feet and jump in where needed. A true collaborative team player.

Technical Skills:

Proficient in Microsoft Office Suite (Excel, Word, Outlook) and scheduling tools.

Organizational Skills:

Strong attention to detail with the ability to manage multiple tasks in a fast-paced environment.

Communication Skills:

Effective verbal and written communication; strong customer service abilities.

Problem-Solving:

Proactive approach with a bias toward action and consistent follow-through.

Confidentiality:

Ability to handle sensitive information with discretion.

Education:

BA degree required.

Experience:

Previous experience in an administrative support role is required.
