This permanent position offers a unique opportunity to play a pivotal role in supporting our CEO, while also assisting our General Counsel and Chief Financial Officer. The ideal candidate will bring a wealth of administrative experience, coupled with meticulous attention to detail and superior multitasking abilities. Responsibilities

  • Effectively manage the CEO's calendar, including scheduling appointments, meetings, and travel arrangements.
  • Perform gatekeeping duties to manage the flow of information to the CEO.
  • Draft letters, reports, and other documents as required, ensuring accuracy and adherence to company standards.
  • Provide administrative support for the CEO's involvement in various boards and organizations.
  • Coordinate travel arrangements for the CEO and other executives as needed, including flights, accommodations, and itineraries.
  • Produce high-quality documents, presentations, and reports as required.
  • Handle confidential information with discretion and integrity.
  • Assist in the preparation and coordination of board meetings, including taking minutes, preparing agendas, and distributing materials.
  • Provide light support for the General Counsel and Chief Financial Officer, as required.

Qualifications

  • Minimum of 5 years of experience as an Executive Assistant or Administrative Assistant.
  • Proven experience in travel coordination and calendar management.
  • Exceptional written and verbal communication skills, with the ability to draft professional letters and reports.
  • Strong organizational skills, with the ability to manage multiple tasks and projects simultaneously.
  • High level of proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint.
  • Experience in the scientific industry is a plus.
  • Ability to handle confidential information with a high level of discretion and professionalism.
  • Strong attention to detail and problem-solving skills.
  • Ability to work effectively both independently and as part of a team.
  • Demonstrated ability to work effectively with a variety of internal and external stakeholders.
  • A proactive approach and the ability to anticipate the needs of the CEO.
