Role Summary:

Administrative Assistant will provide a wide variety of administrative support to one or more departments and/or senior level leaders, including but not limited to Senior Vice President, Vice President, and Directors. Serves as the administrative liaison for all internal and external inquiries related to the assigned department.

Leadership SupportCompose, prepare, proofread, organize, and maintain confidential files, reports, and other complex documents including presentations, organizational charts, spreadsheets, databases, and recordsPrepare and organize pre-meeting and post-meeting materials and reportsCoordinate travel arrangements including reservations, itineraries, and expense reports as neededOrganize group meetings including location, room setup, materials, and foodMaintain a variety of weekly/monthly/quarterly reportsCoordinate schedules and meeting plansCoordinate conference calls, team meetings and ad hoc meetings with both corporate and field groupsAnswer, screen, and direct incoming calls, handling issues appropriately and relaying messagesProcess invoices providing correct financial coding and supporting detailsProject Coordination

Act as point person for select projects. Ensure timelines are met and action items are clearly communicated to keep projects on track.Participate on special project teamsManage time effectively to meet deadlines and ensure availability for additional projectsCreate and edit Power Point presentationsDepartment Support

Compose messages for the department such as invitations to department meetings/events and job change announcementsOversee department events including spot recognition processes, birthday and anniversary celebrations, and holiday activitiesMaintain the department calendar and ensure key dates and events are well communicatedServe as an information resource regarding routine questions as well as critical policies and proceduresEnsure office, maintenance and janitorial supplies are well maintained for departmentRequest and coordinate with facility teams on office repairs, updates and movesRequirements:

High school diploma or GED equivalent3+ years of administrative support experience with increasing responsibilityProficiency with Microsoft Office applications to include Word, Excel, PowerPoint and OutlookExcellent verbal and written communication skillsProficiency in building PowerPoint decks, previous experience requiredAbility to organize & prioritize; attention to detailAbility to handle multiple tasks simultaneously in a fast-paced work environment, work well and remain composed in stressful situations
