Description of Position

Performs routine clerical, secretarial, and administrative functions such as drafting correspondence, scheduling appointments, organizing and maintaining paper and electronic files, collecting and organizing information for performance improvement.

Maintain confidentiality of information for employees, and operations, following all HIPAA guidelines and protocols related to inmate confidentiality.Perform clerical, administrative and secretarial duties accurately and timely. Duties may include, but are not limited, to reports, payroll, and personnel document processing.Compose, type, and distribute meeting notes, routine correspondence, and reports.Develop clinical schedules and maintain clinical databases as required.Operate office equipment such as fax machines, copiers, and phone systems, and use computers for spreadsheet, word processing, database management, and other applications.Locate and attach appropriate files to incoming correspondence requiring replies.Open, read, route, and distribute incoming mail and other material and answer routine letters.Make copies of correspondence and other printed material as requested.Maintain office supply inventory.Greet visitors and callers, handle their inquiries, and direct them to the appropriate individuals; answer telephones in a professional, courteous, and efficient mannerSet up and maintain paper and electronic filing systems for records, correspondence, and other material to ensure efficient retrieval; may create packets for initial substance abuse/mental health assessments.Follow designated chain of command for resolution of issuesAttend all staff meetings and in-service education programs, as requiredFully complies with security regulations, procedures, and directives of the facilitiesOther duties as assignedKnowledge, Skills, and Abilities
