Overview:
Monitor the financial aspects of projects by investigating variances, approving expenses, and ensuring that project billings are issued to customers and payments are collected.
Duties/Responsibilities:
Provide accurate and timely support to operation managers.
Set up and maintain multiple projects in the current ERP system (Vista by Viewpoint).
Maintain accurate and auditable files in a paperless system.
Work with Operation Managers (OMs) to meet monthly billing deadlines.Create timely and accurate customer invoices.
Ensure invoices comply with contract terms and customer-specific requests for Time and Equipment (T&E), Lump Sum, or Unit Based contracts.
Review equipment reports weekly for proper coding of equipment utilized on projects.
Prepare and submit lien waivers on projects.
Approve vendor invoices in document management software. Initiate and track subcontract payment releases following subcontract terms, deadlines, and operation manager requests.
Review receivable income and support Operation Managers with collections.
Review project financial reports for cost accuracy and reasonableness.
Conduct weekly reviews and monitor cash receipt postings.
Perform direct project-related labor and cost transfers within the accounting system.
Review projects monthly with OMs to determine the completion percentage and expected profit margins; update WIP schedules accordingly.
Maintain high standards of confidentiality.
Actively participate in training, meetings, and review sessions.
Other duties as assigned or prudent
The person in this role will uphold the culture of Utilitra, including relationship building with customers as well as general behavior on Utilitra or client premises or at other Utilitra-sponsored events.
Requirements/Qualifications:
Bachelor's degree and five (5) years related experience or equivalent combination of education and experience; experience must include.Five (5) years of construction accounting experience
At least two (2) years working with WIP schedules.
Managing project financial data for multiple projects
Strong analytical skills
Proficiency in MS Word and Excel, and knowledge of Vista by Viewpoint
Excellent verbal and written communication skills
Ability to work and interact with departments throughout the organization.
Reasoning and problem-solving ability
Detail-oriented with strong organizational skills.
Physical Requirements:
Extensive reading of written figures, words, typed reports, and computer screens.
Data entry up to six (6) hours per day.
Phone communication is approximately one (1) hour per day.
Sitting for prolonged periods in meetings can be four (4) or more hours each day.
Communicating verbally with other staff, contractors, vendors, and customers continually.
Moving between meetings and buildings to communicate with customers, usually less than one (1) hour per day.
Occasional lifting up to 10 pounds.
Occasional stooping, reaching, or bending.
Travel Requirements:
