More info about the company can be found at www.gclj.com.RequirementsThe Role This position will working with the Sales and Catering team in a wide variety of complex clerical duties and maintaining their day to day activities to ensure that the team can meet their sales goals. This is a full time position working 32 hours per week. Ideal candidate will have previous sales and catering experience in a hotel environment, hotel reservations or front desk experience. Strong attention to detail is required as well as the ability to provide exceptional customer service. Our expectation is that we exceed our guests expectations every day and in every interaction. Previous experience With SCS or HMS preferred but not required. Ability to handle multiple clients, contracts and calls at once. Job Duties The Sales Assistant will assist the Director of Sales & Senior Catering Sales Manager with administrative duties including and not limited to drafting contracts, word processing, account data entry management and customer follow-up. (Entering leads, definite business, and lost business into Infor SCS). The Sales Assistant will use two PMS systems, Infor SCS and Infor HMS. Draft all contracts and proposals. Sales proposals are drafted and sent via proposal path, Cvent and Simpleview. Charge initial deposits for new bookings and create files for sales managers. Close out final billing and collect final payments for all groups and catering events once the sales managers approve billing. Manage and service all rooms only blocks and upload rooming lists. Monitor attrition pick up and evaluate contracted performance. Provide service to room blocks to include making reservation adjustments, answering questions about the room block pick up and or any aspects regarding their guest rooms. Block guest rooms and upload rooming lists for groups and weddings into Infor SCS. Add billing notes into HMS. The Sales assistant will coordinate communication with other departments as requested by the Director of Sales to include drafting and distributing group resumes, printing readers boards for events and printing amenity cards for group VIP's and corporate travelers. Assist in making new reservation requests for our corporate negotiated accounts.Salary Description $22.00 per hour
