Position Summary

The Administrative Coordinator will provide comprehensive administrative and project support to the firm's 28-person Global Communications team broadly and the Global Head of Communications specifically. This role involves managing and updating project plans, maintaining the team's calendar of initiatives, organizing team meetings and events, managing budgets, and acting as a central point of contact for communications queries within the firm. The ideal candidate will possess exceptional organizational skills, attention to detail, and the ability to handle multiple tasks efficiently. The position reports directly to the Global Head of Communications.

Duties and Accountabilities 1

Manage and update project plans to ensure timely delivery of communications initiativesMaintain the team's calendar of initiatives including the firm-wide editorial/content calendarAssist in organizing team meetings, events, and social outingsOversee the annual budget process and provide ongoing management of the budgets for the department and specific areas of the team, including media relations, internal communications, marketing communications, and video productionHandle expenses and invoicing as necessaryServe as a central point of contact for communications queries from within the firmTake detailed minutes at team meetings and ensure distribution to relevant partiesAssist the Head of Communications with the annual compensation and evaluation processManage the department's Microsoft Teams portalManage onboarding efforts for new joiners to the teamPerform additional administrative tasks as required to support the team's efficiency and successQualifications

At least ten (10) years of experience in an administrative role, preferably within a corporate or legal environmentStrong proficiency in Microsoft Office Suite (PowerPoint, Word, Excel) and Microsoft TeamsDemonstrated experience in managing budgets and project plansExceptional attention to detail and organizational skillsStrong communication and interpersonal skillsAbility to work independently and as part of a teamHigh level of professionalism and discretionLocation and Reporting
