Summary:

Goldbelt Frontier, LLC is looking for a Administrative Assistant. The Administrative Assistant will work as a contractor the U.S. Army Medical Research Institute of Infectious Diseases (USAMRIID) Transition Office.

Responsibilities

Essential Job Functions:

Prepare a minimum of approximately 20-50 pieces of correspondence per section, per weekPrepare Travel requests in DTS; approximately 4-5 per month. OCONUS requests will be coordinated and prepared in accordance with applicable guidance; approximately 2-3 per monthAnswer approximately 30 telephone calls per day. Provide messages to appropriate personnel upon receipt or within 1 hour of receiptPrepare Spreadsheets and Power Point presentations as needed; approximately 10-20 per monthReply to emails within 3 hours or sooner if request is urgentPickup mail from mail distribution center and deliver on a daily basis within assigned division/officeReview approximately 20-50 pieces of correspondence and ensure formatting is in accordance with AR25-50 and all applicable guidanceSchedule and coordinate meetings, conferences, and training sessions. Approximately 3-6 meetings per week will be scheduled. Schedule approximately no more than 3 conferences and/or training sessions per year onsite or at alternate locations throughout the local area or CONUSUse GFEBS/DMLSS to order supplies and submit purchase requestsMaintain documents and filing in accordance with ARIMS. May be appointed as 'Records Manager' for Division/OfficeAttend meetings for the purpose of taking meeting minutes. The minutes shall be transcribed in the correct format and distributed to attendees or as directed by the meeting organizerMaintain, update, and track information in databases based on Division/Office assignment. Approximately 1-20 entries per weekAssist Division personnel when submitting QA documents to QARCO Document Control Office (DCO). Oversee the Division's Standard Operating Procedure (SOP) submission and approval process (IAW SOP QA-04-01) by ensuring that all SOPs are complete and all required documents are routed through Safety prior to sending to QARCO DCO for QA review. Coordinate with SOP authors during periodic reviews and ensure all responses are tracked and returned to QARCO in a timely mannerOversee office operations, including managing supplies, equipment, and facilitiesCoordinate with vendors and service providers to ensure smooth office functioningOrganize and maintain office filing systems, both physical and electronicHandle incoming calls, emails, and correspondence, directing them to the appropriate partiesPrepare and distribute meeting agendas, minutes, and follow-up action itemsAssist with the planning and execution of special projects and initiativesCoordinate Directors Governance Counsel submissions from the divisionsServe as a timekeeper for divisions in ATAAPScoordinate with the Resource Management (RM)/budget office regarding maintenance and updating of costings for internal shared services and rates used as the basis for developing budget estimates. Additionally, the Contractor shall assist RM for updating USAMRIID's software tool used for building research proposal or research support office budgets, i.e. (Budget Planning Tool / Budget Tool) supporting costing updatesAssist in developing strategies to determine optimal sustainment of research project resource requirements and improvements to managing cost effectiveness of research support offices and the services they provide to USAMRIID researchersProvide financial/business management support for the Directorate by using financial information to monitor overall financial status of operations and recommends strategically based decisions to respond to Command level inquiries using appropriate formats for presenting budget/personnel information logically, consistently, and accuratelyQualifications

Necessary Skills and Knowledge:

Experience with preparing Government Travel requests in DTSStrong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant softwareFamiliar with formatting correspondence in accordance with Government format AR25-50Previous experience with GFEBS and DMLSSHigh School diploma or GEDMinimum three (3) years of clerical, secretarial or office experience requiredPreferred Qualifications:

Associates or Bachelor's Degree from a accredited institution

The pay range for this position is $20.81/hr. to $24.00/hr.
