The Administrative Assistant will assume responsibility for the secretarial, clerical, and support services to assist the Departmental Chair and faculty of the Physician Assistant studies program.

Job Duties

Faculty Support

Maintains schedule of appointments for department Chair including organization of meetings.Prepares course materials including syllabi, tests, and other course-related materials.Maintains a copy of all course syllabi for each program.Maintains electronic files of all course materials and tests as requested by faculty.Assists with ARC-PA accreditation documentation.Makes copies of materials as requested by faculty.Supports faculty with Canvas Learning Management System and Examsoft.Assists with prospective student interviews.Assists with faculty research projects (mailing, maintaining files).Furnishes faculty/staff with supply request forms each semester; distributes supplies to faculty/staff; furnishes offices for new faculty members.Assists with Departmental faculty book requests.Assists with faculty scholarship projects (research, presentations, grants, publications, etc.).Assists faculty with the preparation of letters and recommendations.Schedules use and support of technical programs for online course delivery (Echo 360, Remote Proctor, WebX, Zoom, etc.) as requested by faculty.Clinical Education Support

Assists Director of Clinical Education with student placements, schedules, and paperwork.Inputs preceptor and clinical site data in Exxat.Monitors student compliance with HIPPAA/OSHA, immunizations and other student data as directed by Director of Clinical Education.Assists with scheduling evaluations of students, clinical sites, preceptors, and adjunct clinical faculty.Prepares end of semester certificates for all preceptors.Assists in verifying completion of all required clinical hours and evaluations.Maintains accurate files regarding preceptors and clinical facilities.Student Support

Serves as students' point of contact for the Physician Assistant studies Program Director and Faculty.Serves as a staff advisor for the student association.Coordinates orientation sessions, interviews, ceremonies, wellness events, and other on-campus events/ceremonies for the program (scheduling, reservations, supplies, secure catering, etc.)Coordinates on-campus classes and validation sessions for students.Confirms /secures room/space reservations via review of SPACES.Maintains accurate student files, including documentation of clinical hours and student evaluations.Secretarial Support

Communicates in a courteous and professional manner with all College constituents.Ensures adequate office supplies are in place for faculty and staff.Creates and maintains databases as needed.Purchases and ensures availability of all supplies and maintains records and files of all purchases, requisitions, receivables, etc.Reserves rooms and meeting locations through the SPACES scheduling system.Answers telephone and directs caller to appropriate faculty/staff member, takes messages, answers questions, refers students and parents to the CHS website for additional information.Serves as recording secretary for Program Committee, Faculty and/or other standing Department meetings as assigned (prepare agendas and supporting materials, attend meetings, take and transcribe minutes, prepare and distribute final minutes and reports, maintains assigned committee folders on the University W:drive.Sorts and distributes mail to appropriate Departments/individuals.Assists with mass mailings generated by the Departments (students, preceptors, and clinical facilities/preceptors).Collaborates with the Building Coordinator related to facility issues as needed.Maintains filing and shredding of documents.Runs errands as needed.Performs other related duties as assigned and/or needed.Program Support

Collaborates with the Department Chairs, Assistant Dean for Enrollment Management and Student Services, and Director of Clinical Education related to program needs or events.Assists Department Chairs with Departmental accreditation and assessment reportsMaintains Departmental accreditation documents and organizes accreditation timelines.

Qualifications

Position Qualifications

High school diploma and a minimum of 5 years of relative experience

OR

a Bachelor's degree and 3 years of relative experience.Demonstrate considerable knowledge of modem office methods, practices, and procedures including, but not limited to, Microsoft Office, Word, Excel, PowerPoint.Ability to work without direct supervision and to exercise individual initiative.Effective organization and problem-solving skills with particular attention to detail.Ability to effectively manage multiple tasks, prioritizing and completing work assignments in a timely manner.Ability to work with data and information of a confidential nature.Strong written and oral communication skills along with positive interpersonal expertise to effectively interact with all levels of the University's employees and public. Final candidates may be required to complete a writing sample during the interview process.

Preferred Qualifications

Prior administrative experience in a Professional program.Prior experience working with Banner or a related data management system.Integrated knowledge and understanding of higher education accreditation and program review practices.
