This role would manage a variety of projects in size and scope. The Portfolio Manager will take large company-wide, highly visible Portfolios from vision to release. We are looking for an experienced individual who can adapt to our Project planning and delivery process for Infrastructure and security teams, as well as contribute to strategy, roadmap discussions, project execution, and delivery of our engagements. Your skills will include cross-team collaboration, conflict resolution, risk mitigation, and schedule management. You will ensure we deliver the work committed and share insights & impacts based on the work delivered. The IT Portfolio Manager will have the experience and skills necessary to continuously improve the way we develop and deliver initiatives with a solid analytical mindset and interest in taking part in our PMO organization and enhancing processes to improve data integrity and accuracy. The role needs to perform in a fast-paced environment, be a self-starter, and work without any guidance. The ideal candidate will have excellent command over communication and project Management Tools (both cloud and on-prem), expert in using Office 365 applications, Fluent in working conferencing tools such as Zoom, Cisco WebEx, Zoom Chat, Slack, etc., Roles and Responsibilities: Lead and facilitate regular Project team meetings, team coordination, action item tracking, record minutes, and communication. Manage and prioritize multiple tasks while meeting project management deliverables. Plan, coordinate, and manage a large Project of IT Initiatives while anticipating, minimizing, and mitigating risks. Build out integrated dashboards based on data sets from different sources like Smartsheet, Microsoft Project, analyst and Anaplan. Able to produce crisp, integrated Reporting and Dashboards for executive staff. Manage & influence large cross-functional team/s. Provide meaningful optics and insights using tools like Anaplan, Smartsheet Help with the deployment of the IT Project Management Tools ecosystem, while driving PM maturity & discipline Able to work within a complex tools ecosystem while managing across teams. Define and communicate target change schedule and freeze calendar. Provide inputs for Demand Management for Infrastructure and Security Project CORE RESPONSIBILITIES: Develop capacity models for use in planning and managing IT's project portfolio. The models will assess project effort, determine capacity, and identify any resource gaps in project execution. Oversee quarterly and annual planning including assisting with budgeting, forecasting, and creation of key performance indicators. Represent IT in partnership with Finance, Business Analytics, and other key functions that consume and depend on the successful execution of IT's business plan. Create and measure project success metrics, trends, and related analysis; provide recurring and ad hoc presentations to communicate insights and actions; lead process improvement initiatives based on identifying improvements and strategic shifts across IT. Leverage capacity models and KPI analyses to prioritize IT initiatives. Provide data-driven support in the creation/management of KPI dashboards, data sourcing requests, and weekly performance analysis. Provide content for recurring and ad-hoc presentations to communicate strategy and progress against KPIs. Work with IT senior leadership to develop a framework for prioritizing projects (e.g., which projects can be executed on and when) Oversee cost management initiatives including those related to contractors and professional services utilized by Intuitive IT Hire, lead, and develop a team of Project Managers who oversee, analyze, and report on IT project dashboard and scorecard metrics (e.g., audit issues, security exceptions, source code management) WORK/DELIVERABLES WITHIN THE FIRST YEAR COULD LOOK LIKE: Evaluating and upgrading how we drive performance with each of our IT channels including managing and enhancing capacity models and associated dashboards. Providing monthly reporting outlining project deliverables and progress including areas of risk; working with Finance to define and report on expected value/ revenue creation. Working with the senior IT leadership to determine content and create a regular cadence for KPI and performance reviews, insights, and indicated actions. Partnering with IT leadership and Finance to ensure a single source of truth for metrics and data. SUCCESS METRICS COULD LOOK LIKE: Within the first 6 months roll out of project capacity models that align with IT senior leadership expectations. IT Management team 100% weekly knowledge of core KPIs, including insights and indicated actions. Forecast timeliness and accuracy increased. Skills, Experience, Education, & Training 10-15 years of IT Project Management/PMO experience in a waterfall/Agile environment Experience driving Project Planning sessions; Have used various frameworks to prioritize work based on ROI/Business Value Clearly articulate the Business Value (ROI) for the work/projects committed to the leadership team. Possess solid communication skills, and will be comfortable working in a dynamic fast-paced technical environment with experience using Agile/Scrum process and best practices to ensure the successful planning and delivery of projects in IT Facilities Proven experience in managing Projects and releases in a large-scale environment. Solid analytical mindset. Ability to define and build dashboards for executive consumption, while bringing in data from different systems Initiative-taker with strong decision-making abilities who can drive projects to completion. Proven history of achieving results through collaboration and teamwork. Ability to effectively communicate with all levels of the organization, clearly expressing ideas and concepts verbally and in writing to effectively manage sensitive issues. Strong prioritization skills and the ability to manage multiple job duties in fast-paced Construction Projects PMP and Agile certification preferred.
