Administrative Assistant

Position Summary

:

As an

Administrative Assistant , you will conduct research, prepare statistical reports, and handle information requests. Your role will include scheduling meetings, managing visitor interactions, and preparing various correspondences. You'll also assist with documentation, develop program processes, and ensure compliance with current administrative policies. This position requires maintaining data in intelligence databases and providing logistical support for on-site and off-site events.

Responsibilities may include

:

Conduct research, prepare statistical reports, and handle information requestsPerform clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetingsProvide internal guidance and coordination on administrative functions, management controls, metrics development, and standard operating proceduresAssist with coordination, response, and monitoring of document requests and correspondence using a SharePoint systemCoordinate and prepare travel arrangements, authorizations, and vouchersWrite and edit memos, develop spreadsheets, and manage filing and copying documentsPrepare correspondence, briefs, and reports for review and approvalSchedule meetings and maintain calendars for staffTake meeting minutes/notes, provide them for government approval, and distribute once approvedEnsure compliance with administrative policies, task requirements, and Executive Secretariat guidelinesReview and analyze the accuracy of grammar, spelling, punctuation, and clarity of writing for proposed responsesProvide logistics support for on-site events, including coordinating teleconferences, video teleconferences, meeting registration, and room reservationsConduct off-site meeting venue research as neededPlan and facilitate working sessions to address exercise findings and lessons learnedOrganize briefing materials and action items by preparing binders or foldersManage records according to internal Records Management Policies by reviewing, filing, scheduling, and archiving documentsQualifications

Experience & Qualifications

:

Must be a U.S. CitizenBachelor's degree (BA or BS) in a relevant field.Minimum of 3 years of demonstrated experience providing mid-level support to leadership.Proficiency in scheduling in-person and virtual meetings and managing visitor interactions.Experience in conducting research, preparing statistical reports, handling information requests, and preparing correspondence.Ability to obtain and maintain a favorable suitability clearance.Why Consider This Opportunity
